Whats The RoleProvide administrative and secretarial services to the organization (Receptionist, Administrative Assistant, Data clerk, Office clerk, Janitor, Driver, Messenger)What You'll DoProvision of administrative support to the CM of the BU as required. Oversee the internal and external collection and disbursement of company mail/cheques; monitor the efficiency of the office cleaners. Organises appointments and meetings for the CM of the BU as needed. Screens correspondence and calls, responds to queries, informing the CM of any important developments and following-up to ensure that action istaken.
Communicate regularly (daily) with the CM, reporting on all actions taken In collaboration with the CM, handles all correspondence and reports on matters for government, regulatory and external legal counsel ensuring theavailability of accurate information for decision making and timeliness of responses and submissions as required. Drafts letters, memorandums, minutes and reports by identifying required information. Coordinates the induction of new employees including ensuring that all relevant forms are completed, and all relevant documentation issued. Manages the onboarding and work permit process including managing the relationship with the relevant Immigration authorities and employees.
Arranges travel/housing arrangements for expatriates/visitors/new hires as required. Assists in the planning and execution of FLOW’s employee events as required. Raise and process purchases orders for the functions as required and process invoices to facilitate timely payment to suppliers. Ensures all correspondence is filed in employee staff files as necessary. HR Support Is the main point of contact for local employees on HR policies in the absence of the HR Lead Manages the Payroll administration Administers and manage all HR benefits for the BU as required (Medical, Pension, Leave, Uniforms etc. ).
Assists with submission of recommendations for local compensation review Ensures that accurate and timely employee data is provided to the HRSCC when required Performs other duties ancillary to or related to the foregoing. Knowledge And ExperiencePost Secondary Administrative; Alternatively, Associate Degree in a related discipline. Computer proficiency in the use of MS Office Tools At least 3 years’ experience working as a Senior Office Administrator or similar senior role. Good understanding of the FLOW business, government and regulatory protocols.
