Working in close collaboration with Relationship Team, this role ensures exceptional client service through proactive task management, regulatory compliance, and effective coordination with both internal teams and external stakeholders. As a key operational leader, the Administration Manager drives service excellence by supervising administrative processes, identifying areas for improvement, and ensuring that all client-related activities are executed within agreed timelines and standards. .Responsibilities#Team Leadership and OversightReview and validate the work of Administrators and Senior Administrators to ensure accuracy, completeness, and compliance.Monitor task progress and ensure deadlines are consistently met across the team.Act as the escalation point for complex or sensitive matters, providing expert guidance and resolution.Mentor and guide team members, fostering professional growth and knowledge development.Promote a culture of empowerment, encouraging autonomy and accountability within the team.Support the Client Service Executive (CSE) when required, ensuring alignment and collaboration.Liaise with CSE - Internal to monitor and report on team KPIs.Participate in selected operational tasks to maintain hands-on understanding and support team delivery.# Client AdministrationOversee the end-to-end administration of client transactions in collaboration with RMs, including participation in client meetings and strategic discussions.Ensure timely and accurate completion of all administrative tasks, with proper logging and tracking mechanisms in place.Safeguard client documentation through robust record-keeping and secure storage protocols.Review and approve resolutions and transaction checklists, ensuring alignment with internal standards and regulatory requirements.Authorise and monitor the processing of incoming funds, payments, and investment instructions.Supervise the administration of investment subscriptions, redemptions, and loan agreements.Manage the application and renewal processes for legal and financial instruments such as LEIs, loan agreements, subscription agreements, and SPAs.Coordinate the notarisation of documents and oversee approval workflows for beneficiary changes and deeds of indemnity.Facilitate the signing of financial statements and the approval of audit engagement letters.Support the approval and execution of annual returns and powers of attorney.# Regulatory LiaisonLead the preparation of correspondence with regulatory bodies including the FSC, ROC, and MRA.Oversee the application and renewal processes for TAN and TRC certificates.Manage statutory changes and filings for corporate entities, ensuring compliance with local regulations.Supervise the preparation and submission of share acquisitions, transfers, and overseas register/ATED filings.# Entity Setup and ClosuresDirect the setup of new entities, including folder creation and document management in line with NBC protocols.Ensure the timely preparation and delivery of welcome packs for new clients.Oversee the full lifecycle of trust and company closures, ensuring accuracy and compliance.Coordinate the transfer-out process for trusts and companies, maintaining service continuity.# Banking and Investment CoordinationSupervise the opening and closing of bank and investment accounts, ensuring all documentation and due diligence are in place.Respond to escalated or complex requests from banks, investment houses, and registered agents.Review and validate IBCI assessments and ensure timely submission of regulatory forms (W8-BEN, FATCA, CRS, Self-Certification).# Compliance and Risk ManagementApprove and monitor the submission of CDD documentation to the Compliance team.Oversee screening processes including Google, World Check, and other scrutiny checks.Maintain the Register of Beneficial Owners and ensure it is kept up to date.Implement transaction monitoring protocols and escalate any suspicious activity in line with compliance procedures.# Internal Collaboration and ProjectsDrive internal KPI tracking and project initiatives in collaboration with RMs, SRMs, and CSEs.Ensure timely settlement of ATML fees and resolution of investment review action points.Monitor high cash balances and coordinate responses to RACC action items.Lead periodic file reviews and ensure completion of 90-day reviews.Oversee dashboard maintenance, including updates to loan cards and FATCA/CRS links.Manage IHT and FATCA/CRS reviews and ensure insurance card records are current and accurate.Qualifications & Experience:Minimum of 8 years’ experience in a trust or fiduciary services environment.Strong working knowledge of fiduciary functions, with the ability to apply this expertise effectively in client servicing.Holds a relevant entry-level professional qualification such as ACCA, STEP, or ICSA, or a degree in a related field.Demonstrates a commitment to continuous professional development, with a willingness to pursue further qualifications such as South African Tax, Investment Planning, or Master’s-level studies.Skills RequiredSolid understanding of company and trust administration, including core operational aspects.Familiarity with the regulatory framework, including relevant rules, guidance, and their practical implications.Fluent in English, both written and spoken, with excellent communication skills.Proficient in Microsoft Office applications, particularly Word and Excel; experience with Business Central is an asset.Prior people management skills is mandatory.Demonstrated ability in client relationship management, with a focus on service excellence and responsiveness.Highly organised, detail-oriented, and accountable, with the ability to manage tasks independently and seek support when needed.Capable of working effectively under pressure and meeting tight deadlines.Proactive, self-motivated, and solution-oriented, with a strong sense of initiative.Excellent interpersonal and communication skills, both verbal and written.Ability to identify and assess material risks and issues relevant to client structures and operations.Commitment to continuous learning and personal development, with a drive to expand knowledge and skills.Strong collaboration and teamwork skills, with the ability to support colleagues and
