Job Description

I. Position SummaryThe role has 2 key responsibilities – provide marketing administrative support to the Regional Marketing team, and Singapore office. The successful candidate will support the Regional Marketing team to manage Veeva approval process for Asia-developed materials, project management and coordinate regional marketing projects such as the production regional marketing materials, consolidate feedback from countries and international stakeholders from time to time, budget tracking, event organisation, and provide administrative support to the Marketing team. In addition, the successful candidate will provide Singapore Office administrative support such as managing office cleaning services, facilities management, raise PO/invoices etc.The time split is approximately 50:50 between the 2 key responsibilities.II. Key ResponsibilitiesBrand Communications:1. Assist in the development and coordination of promotional collaterals by liaising with vendors2. Ensure usage of claims, brand guidelines, and overall content/ messaging is aligned and approved by key stakeholders (i.e., Medical affairs, Regulatory, Legal).3. Submission of promotional materials for review and approval in VEEVA system.4. Partner with countries in addressing any questions & feedback pertaining to regulatory, legal reviews once assets are routed through local MLR and ensuring that countries are able to meet their launch time. Marketing events:1. Plan and coordinate regional marketing internal and external events2. Manage event budget where relevant Administrative support for Marketing team1. Overall project management and coordination of selected regional marketing projects including but not limited to liaison with global, regional and country stakeholders2. Provide administrative support to marketing team including procurement and invoicing of marketing services3. Document and keep track of regional marketing budget4. Coordinate the content submission for Asia monthly townhall Singapore Office Administrative Support 1. Manage Singapore office administrative matters such as facilities management, cleaning services 2. Creation of PO and invoice management for office services3. Coordination and planning of local events including employee activities.4. Coordination of lockers, employee passes and other related support for new hireIII. EducationDiploma or higherV. Experience Minimum 8 years experience in similar or administrative capacityVI. Required Knowledge and Skills Good oral and written communication capabilities that have been leveraged with external customers, internal stakeholders and senior leadershipOrganised and structured in way of working, strong in process managementSelf-starter and independentEntrepreneur mind set: Positive thinking in opportunities, agile and intrinsic motivation and desire to drive change and trying new things, taking action with pragmatic approachRegional experience preferredExcellent project management skills
