JOB REQUIREMENTS: Administrative Assistant II, English Posting Number: 201104476 Employment Status: Full Time Job Family: Operations andAdministrative Services Position Overview This role provides support tothe Chair by tracking and monitoring departmental budgets, providinggeneral departmental support and communication, assisting in promotionand tenure documentation coordination, providing administrative supportin the hiring processes, and overseeing student workers. Duties andResponsibilities 1. Maintain English department operating budget. Maintain department spending priorities and provide recommendations toChair on progress and potential issues; oversee all purchasing andreimbursements; process expense reports for faculty and graduatestudents. Maintain and update department member access codes using CCURE 2.
Provide English departmental office support including but notlimited to organizing departmental files and records, supporting Chairand directors of study in organizing teaching loads and courseassignments, support Chair in annual performance reviews of faculty,acting as first point of contact for departmental questions, and sendingout department-specific announcements as needed. 3. Provide a variety ofadministrative support for graduate programs, Honors, Core Curriculum,interdisciplinary programs, and advising and registration. 4. Assist indepartmental promotion and tenure process. Some responsibilities includesoliciting and organizing undergraduate and graduate letters, organizingcandidate dossiers, proofread materials, and organizing and catalogpublications. 5. Assist in departmental faculty hiring processincluding:
start requisition process, coordinate and disseminate allapplication materials to appropriate search committee members, organizeand coordinate campus visits, and process appointment dossiers. 6. Assist in Event Scheduling (department meetings, invited speakers) byprocessing speaker requests, handling hotel booking, reimbursements, andfacilitating communication between department and campus and communitystakeholders (e. g. , Marquette Today, College Office) 7. Assist inplanning student recruitment events, admitted student events, anddepartmental admissions visits. 8. Responsible for the supervision ofstudent employees which includes but is not limited to hiring, training,disciplinary actions, ending the student\'s assignment, etc. \*\*\*\*\*OTHER EXPERIENCE AND QUALIFICATIONS:
Required Knowledge, Skills andAbilities High School Diploma A minimum of 2 years of relatedexperience. Must be able to create and maintain excel spreadsheets forbudget and expense management. Previous experience and/or ability toquickly learn procurement, accounting and other software. Must be ableto effectively communicate verbally and in writing. Proficiency inMicrosoft Office (Word, Excel, PowerPoint) and web-based and socialmedia applications. Skills in project and budget management. Excellentcustomer service; ability to work with a wide variety of constituencies(students, parents, Marquette faculty and staff). Good organizationaland problem-solving skills, flexibility, attention to detail, ability tomaintain confidentiality.
Ability to work independently and toprioritize and complete multiple tasks consistent with assignedtimelines.
