Websites : -www. ppc. ae Petrochem (PPC)https: //www. mazruiinternational. ae/ (Main Holding Group)Designation : - Document ControllerJob Objective : - Ensure Document Management consistency across all functions, rigorously, maintaining control and traceability of the documentation from opportunity initiation throughout completion but not limited to, Operations concerned documents such as : Pre-invoicing, Quality, HSE, assigned rigs, tenders and bids, contracts. This position is responsible for organizing, controlling and maintaining the activities of the document control systems and associated training activities.
Responsibilities will also include administrative and critical support to contracts management, tendering and related activities. Key Responsibilities/Duties : -Implement and maintain document control processes and procedures in compliance with ISO 19475: 2021Develop and maintain the Electronic Document Management System (WorkDrive or Aconex or equivalent platform).
Manage all flows of documents either in electronic form or on paper supportEnsure Document Management accordingly to established procedures or standards (documents numbering, formats, issuance, review, dispatch, recording and archiving)Maintain and manage electronic and hard copy documents as requiredProcess incoming documentation (registration in the DMS, internal distribution, archiving)Process outgoing documentation (transmit to Client and Suppliers/3rd parties)Makes sure that controlled copies of latest approved documents are distributed internally and externally (Clients and Suppliers)Ensure control and coordination of projects documentation and dataEnsure all documentation are correctly identified, distributed and filed/storedFile nomenclature, record classification, document retrieval/security, record traceability, version control, verifiable transmission and dissemination.
Assistance in the preparation collation and issue of reports and registers as may be requiredCommunicate and liaise with internal/external stakeholders to agree standards, systems, efficient flow of documentation, handover and close-out of business transactions. Monitor technical documents review and approval in accordance with agreed scheduleMonitor the documentation progress in cooperation with the project plannerProduce internal and external (Clients and Suppliers) over-due reportsEnsuring the use of standardized forms and templatesOrganize folders and subfolders as per approved record system.
Establish and maintain the a Master Log of all kinds of documentationCollate, produce and submit various documentation for ClientsResponsible to process all submittals and input into the system. Maintain updated submittal log, monitor the submittal schedule and status. Transmit documentation and submittals through the Clients SharePoint system. Receive, log, and track plans and specifications as received including all revisions. Distribute plans and specifications to contractor personnel as well as subcontractors. Ability & Skills : - Excellent written and verbal communications, and interpersonal skills.
Teamwork and relationshipsPossess good knowledge in document control and management processes and ISO standardsSystematic and able to work under pressureAble to work independently as well as in a teamExperience and knowledge of working on EDMS platforms. Proficient in MS Office applications (Excel, Words and Power Point) and Adobe Professional is a must and knowledge in using documents control software is advantageousAble to work independently as well as in a teamAbility to setup a new document control system; highly meticulous and detailed oriented. Experience :
- 4–7 years of experience in document control, with at least 2–3 years supporting tendering or contracts in the oil & gas industry. Knowledge and Skills : - Familiarity with ADNOC, Aramco, or other major client tender requirements. Strong knowledge of document control systems (Aconex, Procore, SharePoint, Asite, Zoho, EDMS, or similar). Excellent organizational skills and attention to detail. Proficiency in MS Office (Word, Excel, Outlook, PowerPoint). Ability to work under pressure and meet tight deadlines. Preferred knowledge and skills: Knowledge of commercial terms and contract language is a plus. Experience handling confidential and high-value bid submissions. Strong interpersonal and communication skills. Academic Qualifications :
-Admin role preferred. Technical diploma. High school with >3 years on document controlling work related experience. Accountabilities and Performance Measures : - Coordinate with Operations- Billing, logistics related requirements for invoice submissionsPre- invoicing documentation consolidations aligned with rigs activities and monthly billingIntegrate tender team concerning track records, documentations, write up’s concerned operational procedures and documents in UAE/PPC. Organize and Archive, file Op’s documents, procedures, work instructions and forms. QC documents controller and focal point for OperationsFulfill Op’s Document based upon retrieval requests for SQM’sMaintain Documents stored in centralized data base for operations.
