💼 Job Post: Medical Virtual Administrative & Marketing AssistantPosition Code: CK-AFPosition Type: Full-Time (40 hours per week)Work Hours: Between 8:00 AM – 5:00 PM ESTWork Days: Monday – FridaySalary: Starting at $5 - $6 per hour (depending on experience)🩺 BackgroundA small but growing facial plastic surgery practice is seeking a highly adaptable Virtual Administrative & Marketing Assistant to provide critical support as the clinic expands. The provider is managing most of the administrative, scheduling, and outreach tasks personally, and is now looking for a versatile assistant who can take ownership of these responsibilities. This role will play a vital part in patient communications, marketing, and day-to-day operations, helping the provider free up time for client care and networking.🗓️ Key Responsibilities🧾 Administrative & SchedulingManage patient scheduling, appointment coordination, and provider calendar (including speaking engagements).Maintain organized follow-ups with leads, patients, and networking contacts.Set reminders and assist with task tracking to ensure timely completion of commitments.Provide personal assistant support for meetings, billing team coordination, and general admin tasks.📣 Marketing & OutreachCollaborate with the social media coordinator to support Instagram, TikTok, and Facebook content creation and posting.Engage with followers, respond to inquiries, and maintain a consistent brand voice.Research and compile lists of local doctors, practices, and organizations for networking and referral opportunities.Reach out to organizations to secure speaking engagements and community visibility.Support lead nurturing efforts by following up with warm and cold leads.Use Canva to design and edit marketing and promotional materials.☎️ Communication & CallsAnswer inbound patient calls with professionalism, empathy, and a clear, confident phone presence.Make outbound calls for networking, referrals, lead follow-ups, and event inquiries.Assist in managing the sales funnel, supporting business development through relationship-building rather than hard selling.💡 Desired Skills & QualificationsPrevious experience supporting medical, plastic surgery, or wellness practices preferred (familiarity with medical terminology is helpful but not mandatory).Excellent English communication skills (verbal and written), with a clear and professional phone voice.Strong organizational skills; able to manage schedules, follow-ups, and tasks independently.Proficiency in IntakeQ (EHR) (must-have!)Comfortable with Google Workspace, Canva (must-have!), Google Voice, RingCentral, CRM tools, social media platformsAdaptable and resourceful, with the ability to learn new systems quickly and handle evolving priorities.Professional, proactive, and capable of working independently with minimal supervision.🖥️ Technical RequirementsDevice: Reliable desktop or laptop computerInternet: High-speed connection (minimum 20 Mbps)Audio: Noise-canceling headsetVideo: Webcam for virtual meetingsWorkspace: Quiet, professional work environment📹 How to ApplySubmit your resume and a short video introduction showcasing your background, communication style, and experience in administrative support, scheduling, and marketing.
