About the RoleWe are seeking a highly organized and patient-focused Medical Virtual Assistant to support a Sleep Medicine practice. The ideal candidate has strong communication skills, clinical understanding (RN preferred), and proven experience supporting patient scheduling, intake, and administrative functions in a healthcare setting.This role requires exceptional attention to detail, professionalism, and the ability to manage multiple tasks while delivering a high-quality patient experience.Key ResponsibilitiesAppointment ManagementCall patients to confirm appointments and discuss visit requirementsVerify copays prior to appointmentsEnsure prior sleep studies and office notes are obtained before the visitSchedule, reschedule, and cancel appointments as neededPatient Registration & IntakeContact and onboard new patients; collect demographic and insurance detailsEnter data accurately into CareCloudVerify patient eligibility and insurance benefits (including direct insurer calls when needed)Check requirements for prior authorizationsConduct brief intake questions regarding patient symptoms or sleep historyLink prior sleep study records to AirViewCoordinate with DME suppliers as neededFront Desk / Reception SupportAnswer inbound patient calls and address questionsCall facilities and provider offices to request records or follow up on referralsContact insurance hotlines to obtain coverage details or supportMedical Records ManagementSend referral updates and referral ordersFax and email records securelyUpload sleep studies and other clinical records into EMRSend messages and documents through CareCloudMaintain accurate and confidential patient recordsPractice Support & Administrative WorkComplete assigned daily tasks and inbox requestsAttend practice meetings and collaborate with the clinical teamAssist with other administrative needs related to patient careQualificationsRegistered Nurse (RN) preferredExperience in a sleep clinic, respiratory care, neurology, or similar specialty is a plusExcellent English communication skills (written & verbal)Prior experience with medical scheduling and eligibility verificationFamiliarity with CareCloud and AirView (preferred, not required)Strong organizational skills and attention to detailAbility to multitask and work in a fast-paced healthcare settingTech-savvy and comfortable with EMR systems and medical documentation workflowsEmpathy, professionalism, and a patient-first mindsetRequirementsThis will start 30 hours per week and will transition to full time in March 2026Up to $6/hrThis is a 100% Remote Work
