Oversee and ensure an efficient operation of the office by managing administrative tasks, coordinating communication, and supporting staff and leadership. You will: Coordinate the division’s administrative relationships with external and internal service providers. Demonstrate tact and good judgment in confidential situations and with handling material nonpublic information. Ensure all internal and external inquiries are acknowledged within the business day. Serve as the first point of contact for office-related concerns and provide timely resolutions. Maintain clear communication with leadership and staff, escalating urgent matters as needed.
Ensure timely coordination of office maintenance and IT SupportResponsible for all day-to-day office related facility requests including the submission and tracking of tickets and the escalation of common issues to relevant team. Respond quickly to IT or operational disruptions, liaising with support teams as required. Manage onboarding for new hire and transfer employees, including desk set up. Liaise with internal departments to provision desktop and mobile technology, telephone, and other necessary equipment. Manage departing employee logistics, collect Firm owned equipment, reset desk, handle return of personal items. Maintain and update floor plans for promotions, new hires, terminations, and transfers.
Maintain internal desk tracking tool to ensure that space allocations are correctly linked to group and individual cost centers. Oversight of office supply inventory and organization of suppliesManagement of office space and furniture in our modern office, overlooking the DanubeBU coordinator and communication dispatcher for business continuity exercises and events, including serving as fire warden. Submission and periodic review of badge credentials. Assist leadership and team members with administrative tasks including scheduling meetings, (in-person/virtual) and conference calls, handle meeting conflicts and escalate issues.
Travel arrangement, flights, hotels, rental car and car service, visa applications, manage travel profiles and obtain necessary approvals. Oversight of team’s expense approvals to ensure business receipts are submitted in a timely manner. Coordinate with reprographics and mail services. Maintain on-line folder management, correspondence, documents, and files. Knowledge of how to leverage Firm resources, to provide solutions and execute tasks. Maintain orderly, fully functioning work area. Team event planning, off-site events, dinners and ad-hoc projects as requested. You have: Experience: 5+ Years Relative Corporate Experience Technical Skills:
Microsoft Office Applications (especially Outlook for email, calendar and contacts), Excel, PowerPoint, internet and research tools, solid typing skills (60+wpm)Using firm specific systemsVirtual Video conferencing (Zoom, WebEx, etc)Skills: Excellent communication, writing, judgment, and problem –solving skillsStrong attention to detail, solid organization/time managementEnthusiastic, positive team player who is willing to help out and who works well with colleagues, ability to work in a face-paced environment and handle multiple tasks concurrently, flexible to covering different bankers as group grows or changes.
