Since the end of 2022, we have started developing a new MSC Air Cargo solution in response to customer demand and as a complementary service to its container shipping solutions. To support the growth of MSC Air Cargo activities, we are looking for a highly motivated and hands-on Business Support & Travel Assistant.
He/She will act as the central business support and coordination point between global MAC offices, MSC Air Cargo teams, and external partners, ensuring smooth operational support, effective communication, and seamless execution of travel, events, and internal processes. This role provides comprehensive coordination, administration, travel, and meeting support while driving compliance with corporate policies and enabling efficient cross-functional collaboration. YOUR IMPACTAs a Business Support & Travel Assistant, you will be responsible for the following areas: Communication & Coordination: Serve as the primary liaison among global MAC offices, MSC Air Cargo, and corporate leadership including SteerCo and QBR logistics.
Coordinate interview scheduling between CEO, HR, and internal teams. Manage corporate records, reports, and documentation. Operational & Internal Support: Welcome new employees, including Geneva visits and meetings with department heads. Support Geneva-based teams and serve as the first point of contact for global MAC employees. Organize and facilitate daily and monthly team meetings, internal engagement initiatives, and vacation/business travel planning. Coordinate with MSC HQ IT, Facilities, Hospitality, and Reception for office support needs. Meeting & Event Management: Plan and coordinate internal events such as customer visits, activities, and corporate celebrations. Travel Management & Compliance:
Act as primary travel coordinator for global MAC employees, handling emergencies, special requests, and booking issues. Liaise with Cisalpina teams and MSC HQ Travel department. Lead Concur implementation and ensure adherence to corporate travel policies and cost controls. Maintain travelers’ database and manage online payments and invoice reconciliations. Oversee expense controls for CEO and direct reports and manage purchase orders via e-procurement. YOUR BACKGROUNDMinimum 3–5 years of experience in a business support, executive assistant, or travel coordination role, in an international environment.
Strong organizational and multitasking skills, with proven ability to manage executive calendars, travel logistics, and cross-functional coordination in a fast-paced environment. Proficiency in Microsoft Office Suite and familiarity with Concur, e-procurement systems, and invoice reconciliation processes. Excellent communication skills with a service-oriented mindset and the ability to interact confidently with senior leadership and global teams. High level of discretion, adaptability, and ownership, with a proactive approach to problem-solving and continuous improvement. Fluent in English and French; additional languages are a plus.
