Job Description

Job PurposeTo successfully lead, guide, manage, supervise and control a team responsible for processing / handling back-office activities / functions relating to Wealth Management and Private Banking (Sadara), international Investments and Fund Custody & Administration (IBD), client investments or any other services which the section is mandated in line with the Bank’s policies & procedures, SLAs, and regulatory requirements. The role requires the incumbent to have very good knowledge of investment banking accounting / operations, including Wealth Management System/SWIFT/Fund Custody & Administration system, and bank’s core systems (Kapiti and Symphony). Besides, knowledge of account opening documentation is also important.

Key Tasks and DutiesEffective supervision of Wealth Management/ Fund Custody & Administration Unit whilst ensuring efficient and smooth day-to-day operations as per the laid down procedures / SOP with no negative impact on customers (internal & external)Escalate any problems / exceptions in downloading / processing (including insufficient balance cases) to the Unit Head / Head-IBO. Ensure prompt confirmation of trades / Settlement /reports/ invoices to the clients/brokers/sub custodians/MCD Custodian Gateway as per the agreement. Attend to customer queries relating to the transactions/corporate actions processed. Effectively guide & support the subordinates in expeditious resolution of problems.

Accurate and timely checking of all Wealth Management / Fund Custody & Administration / client transactions / reports as per the laid down policies & procedures (SOP), SLAs & external regulations. Accurate & timely processing of payments / Fund transfers / settlements under local/international investment transactions. Ensuring Timely processing of corporate actions. Timely preparation and submission of customer, business and regulatory reporting to Unit Head / Head-IBO for review. Escalate exceptions on timely basis and file incident reports where required. Ensure proper accounting / reconciliations and record keeping and review of Internal Accounts are done periodically as per the SOP.

Ensure Fee notes are raised on time and follow with business / RM for settlement of outstanding fees. MIS: Ensure accuracy in the Customer Reports and Returns submitted to stake holders and regulatory authorities as applicable. Ensure accurate and timely submission of MIS to Unit Head / Head-IBO. Supervision and management of IBO – Independent, effective, efficient, and smooth day-to-day supervision & management of the unit with nil operational loss, no negative impact on customers (internal & external) & staff, within the agreed SLAs, and as per the laid down policies, procedures (manuals / SOPs) & regulations. Efficiency & Controls as applicable to your unit:

Consistently maintain high level of processing efficiency and controls through constant review / redesign of the processes (includes automation), development & utilization of robust MIS capability (activity volume, SPT, staff productivity / utilization, error tracking mechanism, etc. ), internal a/c reconciliation & monthly MIS, review & update SOPs / SLAs, implement projects / new systems as per the business plan, utilize & enhance MIS capability. Risk & Compliance – Nil “Significant” or “High Risk” or “Repeat” audit issues or any regulatory violations. All rectifications within time and no past dues during the year. Identify & recommend process improvements to mitigate risks, improve productivity & controls.

And ensure accurate & timely submission of reports / returns. Ensure, no overdue comments audit and other supervisory bodies. Project Implementation - Assist the unit head in implementation of projects / process initiatives within the agreed timeframe. Projects include additional assignments given by the Unit Head / Head-IBO from time to time. Relationship Building - Develop and maintain mutually beneficial relationships with the business partners (to ensure ‘partnership’ approach through formulation of SLAs and adherence to it.

Staff Engagement & Development – Support the Unit head of the unit / Head- IBO in effective supervision and monitoring of staff to ensure office discipline & compliance with HR policies. Motivate staff and increase their engagement through regular one-on-one sessions, quarterly performance review, on the job training, and encourage their continued development through in-house / external training and skills improvement courses. Ensure updated JDs and KPIs are place for the staff reporting to you and quarterly appraisals are conducted.

Develop and maintain expert operational knowledge / understanding of local & foreign securities markets, investment products & services, Fund Custody & Administration & its operations, investment accounting practice, and be able to work closely with IBD to deliver support / solutions.
