Your Role: We are seeking a detail-oriented and highly organized Administrative Assistant to join our dynamic tax team.

In this role, you will provide essential administrative and operational support to ensure the smooth and efficient functioning of the department. From managing documentation and coordinating communications to assisting with compliance tracking and reporting, your contributions will play a key role in helping the team meet critical deadlines and maintain accuracy across all functions. What will you do?General Administrative SupportOpen, sort, and distribute incoming mail to the appropriate team members.

Scan and electronically file both legacy (old) and current tax documents into the document management system. Prepare and send certified mail and other outgoing correspondence as needed. Coordinate and order lunches and dinners for staff during peak busy season periods. Assist with scheduling meetings and managing calendars as needed. Tax Compliance SupportMaintain and regularly update the Tax Notice Log, ensuring all notices are tracked, responded to, and properly closed out. Update the Master Tax Directory with the most current information. Assist with updated to organization charts. Monitor and update tasks and statuses in CCH Axcess Workflow (XCM).

Reporting and Data ManagementRun reports from internal systems (e. g. , CCH Axcess Workflow, SafeSend, Sureprep) to track status of tax returns, notices, and usage. Assist with data entry and maintenance of client and engagement information across platforms. Billing and Financial SupportFollow up on payment requests. Coordinate with the billing team on administrative tasks or data entry, if required. What Do you Need to Succeed:

Competency in Microsoft applications including Word, Excel and OutlookSelf-motivated with excellent organization skillsStrong verbal and written communication skills a mustAttention to detail and ability to multi-task is an assetStrong organizational and problem-solving skillsExceptional interpersonal skillsFriendly and professional demeanorAbility to work well with a team and pitch in when neededEducation and Experience Requirements: High School diploma requiredPhysical Demands and Work Environment: Occasional, standing, walking, crouching, and lifting to 15 pounds. Frequent use of hands and reaching with hands and arms. Regular talking, hearing, seeing, and sitting. Moderate to the loud noise level. Risk of electrical shock. Salary Range:

The salary range for this role is $55,000-$65,000 and represents the firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience, qualifications, and location.
