Job Description

Summary: The Legal Department Assistant provides support to NTTA’s Legal Department by assisting with a variety of tasks and overflow work.

Duties include, but are not limited to, organizing and handling projects requiring a high degree of confidentiality and the ability to review and compile results, processing administrative documentation and records, performing research, collecting documents and assisting in responses to requests for records whether for discovery in litigation or Public Information Act requests, processing customer bankruptcy notices, managing miscellaneous projects from other members of the legal department, creating legal team presentations and memoranda, tracking certain NTTA agreements, assisting with the approval process through contract management software, prioritizing work assignments, building and maintaining positive working relationships with co-workers and other NTTA employees.

Responsibilities: Assists the Record Retention Manager and Officer of Public Information with overflow on an as needed basis. Assists bankruptcy personnel with overflow tasks, which may include processing customer bankruptcy notices, verifying customer bankruptcies as filed with the bankruptcy court, and properly noting such bankruptcies in NTTA’s back-office system. Assists with overflow administrative tasks including filing (electronic and paper), ordering legal department supplies, organizing meetings, and legal department documents.

Provides administrative support for departmental projects by setting up meetings and conference calls, providing administrative and technical assistance, preparing correspondence, answering the telephone and responding to inquiries, and writing and editing memos, presentations, and correspondence. Gathers necessary materials and information from various NTTA departments for discovery requests and other legal proceedings to ensure deadlines are met. Provides support to ensure policies and procedures are regularly reviewed and updated. Prepares purchase requisitions and requests for payment. Assists in facilitating and coordinating Legal team events. Attends in-person team/NTTA employee events and any miscellaneous as-needed in-person meetings.

Performs other duties as assigned. Qualifications: Minimum: Associate’s degree. No experience required. Ability to be focused, work both independently and in a team setting, and produce accurate work product is highly important. Excellent attention to detail and good interpersonal skills. Demonstrates a high level of organizational skill and maintains confidentiality in handling sensitive legal matters and information. Preferred: Previous experience working in a legal environment or corporate setting is advantageous.
