This position plays a key role in ensuring the smooth daily operation of our office. The ideal candidate thrives in a fast-paced environment, enjoys helping others, and takes pride in maintaining an efficient and welcoming workspace.Key ResponsibilitiesManage office inventory including supplies, equipment, and kitchen stock, ensuring items are replenished and organized.Oversee incoming and outgoing mail and deliveries, coordinating with courier and postal services as needed.Greet and check in all visitors and guests, maintaining a professional and friendly front-of-office experience.Support the Business Operations Manager and HR Manager in planning and executing company-wide events, meetings, and team activities.Ensure the office environment is well maintained, organized, and aligned with company standards for cleanliness and safety.Track and manage water deliveries, maintenance requests, and vendor communications related to office services.Coordinate with building management and service providers for repairs, maintenance, and facility improvements.Assist in document organization, filing, and administrative support across departments.Contribute to creating a positive, supportive, and inclusive workplace culture.Qualifications0–2 years of experience in office administration, reception, or facilities coordination preferred.Strong organizational and multitasking skills with excellent attention to detail.Proficient in Google Suite (Docs, Sheets) and comfortable using digital tools for scheduling and inventory management.Excellent written and verbal communication skills.Friendly, professional demeanor with strong customer-service orientation.Ability to take initiative and work both independently and collaboratively.Passion for sustainability and alignment with Polaron’s mission is an asset.Why Join PolaronCollaborative and inclusive team environment.Opportunity to contribute to Canada’s growing renewable energy sector.Employee events, engagement initiatives, and growth opportunities.Be part of a purpose-driven organization helping shape the future of clean energy.
