About the RoleOffice Administrator is responsible for running and coordinating the day-to-day administrative duties of an organization. Employee must also have the skills to observe professional ethics in relations with colleagues and leaders of the Company; Experience in using a personal computer at the level of a confident user; Techniques and skills of positive business communication and telephone conversations; Personal positive qualities: to be sociable, attentive, friendly, and loyal. General Service Responsibilities:

Provides administrative support for Company staff to ensure efficient operation of the office;Organize information including, air/railway tickets and accommodation, hotel reservations, travel schedules in accordance with company policy and obtain approval;Be prime Company point of contact for liaising with Landlord and its technical/administrative functions;Working with a translation agency (receiving applications for translation);Draw up the necessary documents, estimates for the logistics of the office, as well as supports award and management of contracts for:

the supply of stationery, consumables, and other inventory items necessary for the operation of the office;Sending documents to suppliers via courier services;Timely organize maintenance and repair of office equipment;Establish contacts with operational services, utility organizations for resource provision of office premises, repair, and other works;Monitor the preparation and release of advertising and other information materials in the office (business cards, signs) intended for distribution to visitors;Interact with other structural divisions as well as third-party institutions of the organization to resolve operational issues of production activities that fall within the competence of the General Service Specialist;Prepare documentation for the creation of general meetings, online meetings and events;Processing and forwarding all incoming/outgoing documentation, mail, parcels or deliveries;Prepare and execute in accordance with accepted business ethics letters, requests, responses and other written documents to legal entities and individuals, official institutions and departments, as well as writing and sending emails to teams and departments on behalf of teams or senior staff;Finding ways to improve administrative processes of organization;HR Responsibilities:

Making business trips, issuing orders, booking tickets and hotels;Signing of personnel orders with employees, sending orders to Sites, timely receipt of originals;Scanning and keeping Timesheets at the end of each month;Organization of team building and other events;Financial Responsibilities: Compilation and calculation of daily and other additional costs that employees may incur before/during business trips;Receipt and control of primary documentation (travel reports), namely checking for correctness and availability of travel certificates, boarding passes, invoices for hotel accommodation, etc. ;Take part in all types of office inventories;Responsibilities for visa and migration support:

Prepare the documents required to obtain all types of visas for the Company's Clients and Employees at the consular services of foreign embassies and visa centers. If necessary, prepare documents for obtaining visa support for the Company's foreign partners entering RoK at the invitation of the Company;Interact with the consular services of embassies, the Ministry of Foreign Affairs of the Republic of Kazakhstan;Submission of notifications of arrival in the Republic of Kazakhstan of foreign workers and family members through official sources and the migration portal of the Republic of Kazakhstan.

Timely obtaining permission for the arrival of foreign workers;Obtain and secure storage of general passports and other documents of Clients and Employees of the Company, as well as timely and efficiently provide appropriate visa services to Employees and Clients of the Company;Pay on time the following consular fees and other obligatory payments for obtaining visas and invitations;
