Job Title : Executive Virtual Assistant -Part Time RoleResponsibilitiesExecutive Support Manage and prioritize the CBO’s calendar, meetings, and follow-ups. Coordinate internal and external meetings, including preparation of briefing documents and agendas. Handle sensitive and confidential information with discretion. Communication & Correspondence Draft and format high-impact professional emails, memos, and summaries. Liaise with partners, vendors, and clients to maintain momentum on deals and initiatives. Travel & Expense Coordination Book domestic and international travel (flights, hotels, ground transportation) for the CBO and occasionally for executive team members. Track and reconcile travel expenses, ensuring timely submission and reporting for reimbursements.
Maintain documentation to support internal finance audits and compliance. Conference & Prospecting Logistics Coordinate all logistics tied to industry conferences and business events. Support research and outreach to prospects, clients, or partners ahead of events. Schedule and confirm meetings, manage RSVPs, and prep materials for conference engagements. Project & Task Management Track deliverables, timelines, and action items tied to strategic goals. Coordinate cross-functional collaboration to ensure project milestones are met. Recommend delegation strategies to optimize team execution. Document & Contract Handling Assist in reviewing contracts, identifying key terms, and flagging potential risks.
Maintain organized records of signed IOs, NDAs, MSAs, and vendor documents. Support version control and document management across departments. Research & Intelligence Gathering Conduct light market research on CTV/DOOH trends, competitive activity, or prospective partners. Monitor relevant news, publications, or LinkedIn updates to keep the CBO informed. Process Optimization Recommend workflow improvements to streamline communication, reporting, or approval flows.
