The role focuses on assisting the CEO, Board and Leadership Team with administrative and coordination tasks (meetings, travelling, visitor arrangements). However, the role is contributing strongly on general office wellbeing. By combining organizational, administrative, and communication skills, the Office Coordinator contributes to an efficient, professional, and welcoming workplace.ResponsibilitiesCEO, Board & Leadership Team SupportArrange travel, accommodation, and itineraries for the CEO, Board members and Leadership Team members.Coordinate Board and Leadership Team meetings, including scheduling, room bookings, catering, and materials.Support with visitor arrangements, including agendas, logistics, and hospitality.Provide ad-hoc administrative support to the CEO and Leadership Team.Supporting in communication related issues e.g. presentations and agenda building.Office AdministrationAct as the first point of contact for calls, emails, and office visitors.Oversee the general cleanliness of the offices.Supporting IT, Facility, HR, Marketing in various tasks and projects.Oversee office supplies, equipment, and facilities to ensure smooth daily operations.Manage relationships with vendors and service providers.Assist in organizing company-wide events and internal activities.(Additional) contact person for keys, ID cards, lockers and other employee/visitors related materials and equipment.Document filingIn addition, you will participate in different projects, where administrative support is needed.QualificationsEducation & BackgroundRelevant education (vocational or bachelor’s degree).Previous experience in Executive assistant or Team assistant roles.Good command of English (both spoken and written).Skills & CompetenciesStrong organizational and multitasking skills with attention to detail.Good communication skills, both written and verbal.Ability to handle confidential information with discretion.Strong interpersonal skills and a service-oriented mindset.Proactive, flexible, and solution-focused approach to work.Prioritization abilities.Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and ability to use other IT tools.Ability to work independently as well as collaboratively across teams.
