This role ensures that the office runs smoothly day to day - maintaining a professional, welcoming reception and supporting an organised, safe and engaging workplace environment that reflects the Keywords culture.The ideal candidate is proactive, reliable and people-oriented, with a strong sense of ownership over the office experience. The role will also provide operational support to Liquid Violet, our Covent Garden studio, assisting with vendor coordination and facilities-related tasks as required.Key ResponsibilitiesFront of House & Office ExperienceOperate the reception area, greeting visitors, managing deliveries and maintaining a professional first impression of the studioAct as the main point of contact for employees working in or visiting the London officeSupport the coordination of on-site events and activities that contribute to a positive and inclusive studio cultureMaintain an organised, tidy and well-presented workspace including meeting rooms and communal areasFacilities & Vendor CoordinationLiaise with building management and external vendors (cleaning, maintenance, catering, security etc.) to ensure smooth daily operationsSupport the Liquid Violet studio in Covent Garden with vendor coordination and facilities-related tasks as neededLog and track facilities requests, ensuring issues are resolved quickly and efficientlyManage office supplies, deliveries and service schedules in line with budget and quality expectationsSupport the UK Facilities & Leasing Manager in implementing consistent facilities standards across UK sitesAccess & Security ManagementManage employee and visitor access cards, ensuring records are up to date and systems secureAssist in enforcing health, safety and security procedures including emergency protocolsCoordinate with IT and building management to maintain access systems and resolve any issuesCulture & EngagementHelp foster a positive office culture across both our London Head office and Liquid Violet space by assisting with team events, celebrations and communicationsAct as a friendly and approachable presence in the office, encouraging collaboration and supporting employee engagement initiativesRequirements2+ years' experience in office coordination, reception or facilities administrationStrong interpersonal skills and a customer-service mindsetExcellent organisational and multitasking abilities with attention to detailConfident communicator - both written and verbal - able to liaise professionally with all levels of the organisationProficient with Microsoft Office or Google Workspace and quick to learn new tools (e.g. ticketing or access management systems)Awareness of health, safety and security procedures in a corporate environmentProactive, dependable and adaptable - able to work independently and take initiativeBenefitsKeywords Studios is dedicated to following a well-established Equal Opportunities Policy.
