Let’s grow better, together.The RoleThe Office Manager will be responsible for ensuring the smooth operation of the Stockholm office. This role requires a highly organised, detail-oriented individual with excellent communication skills. The Office Manager will manage office supplies, handle vendor coordination, facilities, coordinate office events, and perform other administrative tasks and support the overall efficiency of the office environment to ensure a positive employee and guest experience.This role will be based in our Stockholm office in Sweden, with a 6 month contract.Key ResponsibilitiesOversee daily office operations to maintain an organized, clean, and efficient work environment.Manage office supplies, equipment, and vendor relationships to ensure quality service and cost-effectiveness.Act as the primary contact for facility management, including maintenance, security, and space planning both internally and externally. Making our internal and external guests feel welcome, and any reception-related duties.Ensure office safety and compliance with local health and safety regulations by taking the lead to follow through with the required training, drills, etc., as well as security procedures for your local location.Take the lead on planning local company events and supporting local teams with conferences, including team-building activities, catering, and other events.You will also support global events and initiatives to ensure that we have a consistent experience happening across and specifically executing this in your local location.Develop and implement office policies to improve operational efficiency, including making updates accordingly in handbooks, intranet or similar.Manage office expenses and procurement.Provide administrative support for other miscellaneous office-related items such as incoming and outgoing mail etc.Support in other ad-hoc workplace projects such as office moves & merges, as required.About YouWe’re looking for someone who thrives in a fast-paced environment, able to prioritise and manage multiple tasks simultaneously. You should be comfortable working independently, taking initiative to drive tasks forward. Strong interpersonal skills are essential, as the role involves engaging with various stakeholders and building solid, collaborative relationships. Attention to detail, reliability, and adaptability are key, along with an enthusiastic, can-do attitude that contributes positively to the team.Your backgroundWe see you have a minimum of 2 years experience of similar roles such as Office Manager, Facilities Manager etc.Good knowledge and skills in Google Suite and Slack are highly desirable.Excellent verbal and written communication skills.Due to the nature of the role, as an Office Manager, you will need to be flexible and on call on rare occasions, e.g., in case of a security alarm call-out or when coordinating events. Of course, we respect work-life balance and think it's important that your working hours balance out on these particular occasions.Strong organizational, multitasking, and problem-solving skills with a proactive approach.Excellent interpersonal and communication skills to engage across all levels.Experience managing vendors, negotiating contracts, and ensuring compliance.Experience working in a global and international organisation.Arrive, including brands like EasyPark, Flowbird, RingGo, ParkMobile and Parkopedia, is a leading global mobility platform.
