EthosEnergy is currently seeking an Office Manager for our facility in Manzanillo, DR. This role will report to the Facility Manager and holds a key leadership role in overseeing administrative and business functions to ensure smooth plant operations. This professional will be responsible for managing office services, establishing policies, and supporting multiple departments in a dynamic and fast-paced environment. Under general supervision, the Office Manager plans and oversees all administrative tasks and office services, including purchasing, mail, accounts payable/receivable, and related functions. They are responsible for establishing and enforcing office policies, resolving operational challenges, and providing administrative and HR support.Job ResponsibilitiesAdministrative Oversight:Manage daily office operations, set work priorities, and resolve operational issues.Oversee policy development, implementation, and compliance monitoring. Coordinate and maintain filing systems, database management, and document archiving. Accounting and Financial Management:Process accounts payable/receivable, expense reports, vendor payments, and monthly invoices.Enter reimbursable expenses into plant accounting software and prepare budgetary/financial reports.Assist with budget forecasting and variance analysis. HR and Personnel Support:Assist with onboarding new employees, benefits administration, and scheduling extra hours, PTOs, and operational rosters.Maintain schedules for vacations, sick leave, and personal time.Administer payroll and support employee examinations and benefits. Event and Travel Coordination:Plan and organize meetings, travel arrangements, and special projects or plant events.Coordinate visitors and ensure optimal meeting setups, catering, and logistics.Procurement and Inventory Management:Handle purchasing activities for supplies, equipment, and materials. Ensure basic inventory control and effective vendor management. Executive Support:Provide support to Operations & Maintenance and Facility Management, including project planning, database assistance, and correspondence.Act as a liaison between management and administrative functions. Facilities and Ad-hoc Projects:Collaborate with building management to resolve on-site issues.Tackle dynamic, project-based tasks and support overall site administration as needed.Required Skills / KnowledgeExpertise: Proficient in all facets of office administration, inventory control, and HR functions. Technical Skills: Advanced knowledge of Microsoft Office (Word, Excel, Outlook) and plant software (e.g., Navision, SAP). Accounting Knowledge: Experience with accounts payable/receivable, financial reporting, and routine administrative documentation. Organizational Skills: Exceptional ability to prioritize tasks, manage multiple issues, and foster a cooperative environment. Communication Skills: Strong written and verbal communication, bilingual proficiency in Spanish/English.
