Job DescriptionLocation: Waynestown, Summerhill RoadEvergreen Care is seeking to recruit a Office Manager & PA to the CEO to join our team based in Dunboyne, Co Meath. Reporting to the COO and CEO as required, the successful applicant will provide professional, proactive support to the Chief Executive Officer, while ensuring the efficient and smooth running of our Meath based Support Office.This role requires exceptional administrative and organisational skills, strong attention to detail, and the ability to manage multiple priorities in a dynamic environment. The successful candidate will play a pivotal role in supporting the CEO, working closely with the COO, and fostering a positive, well-coordinated office environment that supports collaboration and high performanceThe role will require travel on a routine basis to any of Evergreen Care's 12 Nursing homes as necessary or other locations.The position represents an excellent opportunity for an individual to join our organisation which is currently in a phase of expansion.About The RoleKey ResponsibilitiesExecutive SupportProvide full PA support to the CEO, including complex diary management, travel coordination, and meeting scheduling.Manage correspondence, emails, and documentation with professionalism and confidentiality.Prepare meeting materials, agendas, and minutes, ensuring follow-up actions are tracked and completed.Support the coordination of Board and senior leadership meetings, including logistics and documentation.Liaise with internal and external stakeholders on behalf of the CEO in a professional and timely manner.Office ManagementOversee the day-to-day running of the Support Office to ensure a professional, efficient, and welcoming environment.Manage office supplies, stationery, and equipment procurement, maintaining adequate stock levels.Coordinate maintenance, cleaning, and health & safety requirements for the office.Act as the main point of contact for facilities, suppliers, and service providers.Plan, arrange, and manage all Support Office social and team-building events, fostering a positive and inclusive workplace culture.Maintain strong communication channels within the Support Office to ensure smooth day-to-day operations.Administration & SystemsPrepare and format documents, reports, and presentations to a high standard using Microsoft Office (Word, Excel, PowerPoint, Outlook) and use of Canva or similar.Maintain electronic and paper filing systems, ensuring accuracy, organisation, and confidentiality.Assist with financial administration, including invoice processing and budget tracking where required.Support the implementation and maintenance of efficient administrative systems and procedures.Experience in event support & coordination including logistics and communications for internal and external events.Ability to manage meeting attendance including scheduling meetings and ensuring appropriate staff availability.Key Skills & AttributesExcellent organisational and time management skills, with strong attention to detail.Proactive, resourceful, and able to work independently as well as collaboratively.Excellent written and verbal communication skills. The ability to write formal reports and communications.Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Professional, confidential, and adaptable, with a positive, can-do attitude.Strong interpersonal skills, with the ability to interact confidently and effectively with senior executives and stakeholders.Creative and enthusiastic in planning and delivering social and team-building initiatives.Qualifications & RequirementsExperience in a similar role (PA/Office Manager or Executive Assistant).Experience supporting senior leadership, preferably within a busy corporate or healthcare environment.Full clean driver’s licence and access to own transport (required).Relevant qualification in Business Administration or a related field (preferred but not essential).Working ConditionsFull-time, office-based role.Standard office hours – 09:00 am – 17:30 pm, with occasional flexibility required to support executive commitments or events which may occur outside the normal working hours.The Salary for this role is entirely dependent on the experience & qualifications and will be competitive for a suitably experienced candidate.This job description is intended to give the post holder an appreciation of the role envisaged for the role. It must be stressed that maximum flexibility is required to work in the nursing home environment and although changes or alterations of the role may occur, they will only be introduced after appropriate notice and training (if required) are given.
