The Document Controller in the Finance Department is responsible for managing, organizing, and maintaining all financial documents and records related to real estate development projects. This role ensures that all financial documentation, including contracts, invoices, budgets, and reports, are accurately controlled and easily accessible for audits, financial analysis, and regulatory compliance. Job Responsibilities: Coordinate a comprehensive, organized filing system for all financial documents related to OMNIYAT projects, including purchase agreements, vendor contracts, budgets, payment schedules, invoices, and financial reports.
Monitor timely collection, registration, indexing, and archiving of all financial documentation, ensuring strict adherence to company policies and regulatory requirements specific to real estate development. Support the preparation and provision of financial documentation for internal and external audits, ensuring all records are accurate, up-to-date, and compliant with accounting standards and real estate regulations. Collaborate closely with finance, legal, procurement, and project teams to ensure proper documentation flow for all financial transactions associated with land acquisition, construction costs, financing, and sales.
Implement strict confidentiality and security protocols for sensitive financial information, particularly documents related to property transactions, funding agreements, and client financial records. Assist in generating periodic reports on document status, financial compliance, and project budgeting documentation for senior management and project stakeholders. Execute management of digital document management systems (DMS) or enterprise resource planning (ERP) tools to facilitate paperless documentation processes and real-time access to financial data for ongoing real estate projects. Contribute recommendations for improvements to documentation processes to increase efficiency, accuracy, and accessibility, considering the unique financial workflows within real estate development projects. Skills & Experience:
Bachelor’s degree in Finance, Business Administration, Real Estate, or a related field (preferred). 2–4 years of experience as a Document Controller, ideally within the finance function of the real estate or construction industry. Solid understanding of real estate finance documentation and related terminology. Proficiency in document management systems, Microsoft Office (Excel & Word), and financial ERP platforms. Exceptional organizational skills and attention to detail. Ability to manage sensitive and confidential information with high discretion. Strong communication and interpersonal skills, with the ability to collaborate across departments and with external stakeholders.
