About YouWe are seeking a proactive and detail-oriented Office Manager to take full ownership of our office operations, facilities management, and day-to-day activities.
This is a hands-on role where you will be responsible for creating and maintaining an inspiring, efficient, and collaborative office environment. The ideal candidate will have an eye for interior design and a passion for creating spaces that enhance productivity, creativity, and team engagement. As the primary point of contact for all office-related matters, you will also manage vendor relationships, oversee security and cleaning services, and handle key facilities management tasks. Your goal will be to ensure a seamless office experience, from maintaining a well-organised, tidy workspace to helping foster a culture of collaboration and employee engagement.
You'll be responsible for: Daily Office OperationsOversee the smooth day-to-day running of the office environmentMaintain a clean, organised, and professional workspaceManage ordering and restocking of office consumables and suppliesProactively identify and address operational issuesFacilities ManagementCoordinate building maintenance requests and ensure timely resolutionMonitor and record utility meter readings (e. g. , electricity, water)Manage repairs, upgrades, and ongoing facilities upkeep in partnership with building managementVendor & Supplier ManagementBuild and maintain strong relationships with external service providers (e. g.
, cleaners, maintenance, security)Monitor vendor performance to ensure high-quality service deliverySupport the Head of People by reviewing contracts and negotiating terms when neededSecurity & Access ControlAct as the primary liaison with the building's security teamManage employee access cards and keys; enforce security protocolsEnsure compliance with health, safety, and security regulationsEmployee Engagement & Office CultureSupport a positive workplace culture by coordinating office events and team-building activitiesCollaborate with the People team to foster a welcoming and inclusive office environmentAddress employee feedback related to the workplace experienceOffice Systems & Inventory ManagementImplement and maintain office systems to streamline workflows and improve efficiencyOversee inventory and ensure office supplies and equipment are well-stocked and functionalDevelop tracking systems to reduce waste and avoid shortagesInternal CommunicationServe as the first point of contact for office-related queries and supportCommunicate timely updates on office changes, events, and service disruptionsCoordinate internal messaging related to office operations and engagementBudget ManagementManage and track office-related expenses, including supplies, services, and facilitiesWork closely with the Head of People to allocate resources and identify cost-saving opportunitiesMaintain accurate budget records and prepare spending reports as neededYou'll need to have:
3+ years of experience in office management or facilities management, ideally in a fast-paced or start up environmentProven experience working with external vendors, including managing relationships with security, cleaning, and facilities servicesExceptional organisational skills with the ability to prioritise and manage multiple responsibilities effectivelyA keen eye for detail in managing office systems, spaces, and day-to-day operationsExcellent communication skills, both verbal and written. Comfortable interacting with employees at all levels and external service providersAbility to think critically and address operational challenges as they arise.
