Job TypeTemporaryDescriptionThe Interns will support OS Madagascar with a particular focus on providing administrative support towards planning, implementing, executing, and closing out all activities related to surgical programs, health infrastructures, equipment and supplies (HIES), education and training, development communications, monitoring and evaluation, finance, procurement & administration. The internship will provide an avenue to gain experience in the work of OS Madagascar by being assigned meaningful exposure and tasks in different departments. Primary ResponsibilitiesEducation and Training: Confirm trainees / participants:
calling and sending SMS to each participant (10 to 15 trainings per year; 10-25 trainees per session) Prepare and check the PC box and the equipment needed for each trainingScan and photocopy educational material Assist in the venue / room settings and preparations. Serve as a runner in case of emergency during training activitiesDuring surgical programs, provide support to the team for E&T related activities, especially as a runner in case of emergency. Assist in wrapping up Education and training sessions: equipment and materials packaging, checking, and transportationHealth Infrastructure Equipment & Supplies Assist in draft cargo customs documentation:
scanning and photocopyingAssist in goods reception at the office: Assist in receiving and checking medications and equipment: 50 – 100 types of medication, drugsEnsure warehouse readiness and cleanlinessAssist with inventory of drugs and consumables at the warehouseAssist with packing items and creating packing lists according to the needs per program Print cargo request forms, OR/station signs, feedback and inventory formsAssist with inventory and preparation of medications/consumables by patient needs Assist coordinate lifters loading and unloading equipment and medicines according to surgical program type:
75 – 120 boxes / 10 – 15 trunks Support in preparing the medication and consumables mentioned in the cargo request form (PACU, OR, Anesthesia, Pre-operative & post-operative)Assist to provide consumables and supplies to volunteers at various stations during surgery days: 10 – 20 request forms to be delivered / day Support in verification and unloading returned equipment at main storage Update, scan and photocopy stock management tool according to the cargo request formSurgical ProgramsAssist with requisite support on paperwork towards temporary medical licenses for international volunteers, certificates, administrative paperwork at MoH)Administrative support including the scheduling of meetings, travel arrangements and projects specific assistance to the program team.
Support on all program preparations (finding gifts, coordination of on-site logistics)Assist in preparation of patient charts/ Scan all the patient charts at the end of a surgical programSupport on logistics during surgical programs (food, snacks, Smile Club/ corporates assignation and dispatch tasks during missions)Nutrition, Oral Health, Speech & Psychosocial CareAssist with the coordination of PAs before bootcamp to confirm numbers of potential malnourished, oral health, speech patients identified Collect patient data follow up: weight, height, Z score Assist in answering the patient help line to register new patients and provide general information.
Follow up calls with PAs with lists of patients to be included in surgical and non-surgical programs activitiesSupport the recording of patient data for all direct patient care activitiesAssist with follow ups with volunteers to confirm their participation and inform them of logistical detailsDevelopment & Communication Assist to take photos (and videos) for social media, especially when several activities are happening simultaneouslySupport response to questions on social mediaAssist with drafting and formatting information and communication documents Assist with setup of information and communication materials during events and surgical programsAssist to answer corporate visitors' questions during their field visits, especially when several activities are happening simultaneously.
Finance & AdministrationAssist with collating documents together: procurement request, quotation(s), purchase order.
Assist in receiving and store goods when delivered; check if the goods correspond to the purchase orderAssist with updates to the online file dashboard to help us follow up on delivery and invoices to be receivedAssist with the preparation and distribution of checks to supplierssupport with Filling, archiving and organizing non-confidential documentsRequirementsBachelor's Degree or equivalent in health-related disciplines, community development, NGO management, communications, procurementPrior exposure to health, surgical, clinical and NGO setups is a plusRecent graduates, awaiting graduation or final year with confirmation of availability for the duration of internship preferred.
