The Operations Assistant ensures efficient remote office management, coordinates vendors and office logistics, facilitates onboarding, and provides essential administrative support to keep our offices running seamlessly. The role is ideal for someone with a strong administrative or secretary/office executive background, especially from fast-paced agency environments. This position will begin as a 6-month contract.Key responsibilities and tasksOffice Management Remote office management for APAC/ME officeSupporting office moves, including dealing with vendors and requesting quotationsManaging pantry orders and general office supplies for multiple officesScheduling onboarding meetings for new joiners, updating calendar invites etcOther general administrative and operational support as neededGeneral Supports the Global HR team on initiatives and projects Day-to-day, ad hoc, and project administrative duties Regularly attends LEWIS training sessions to enhance skills and develop knowledgeEnsures all record keeping is complete, up to date and accurate Promotes and helps nurture an excellent culture and be an ambassador for the LEWIS brandAbout youBackground in secretary, administrative, or office executive roles —ideally within an agency or fast-paced environmentHighly organized and detail-orientedExperienced in juggling multiple priorities and tasksStrong communication and coordination skillsAbility to work independently and proactivelyStrong problem-solving skills and ability to troubleshoot basic office/operations issuesComfortable working with spreadsheets and productivity tools (Google Suite/MS Office)Vendor management experience is a plusBasic understanding of procurement or operations workflows is an advantageAble to maintain confidentiality and handle sensitive information professionally  This job description is not intended to be an exhaustive list of the responsibilities for this role.
