Job Description

We are looking for a highly proactive and detail-driven Operations & Compliance Specialist to support the daily operations of a commercial cleaning contractor in New York City. This role requires someone who takes initiative, follows up without being asked, and keeps schedules, reports, and compliance tasks accurate and up to date every day. The right candidate must be extremely organized, reliable, and comfortable managing fast-moving operational workflows.Key Responsibilities:Review supervisor reports, Swept time entries, and schedule variance reports; adjust hours and schedules as neededAdd and update hours in Swept and maintain accurate weekly hour totalsMonitor checklist completion, send checklists to Green Top Farms, and follow up with team membersSupport new hire onboarding and required documentationCompare schedules vs. actual clock-ins for Maximes and Hoxton; confirm details with team leadersReview and track OPUS registrations and training completion; follow up on pending itemsRespond to daily questions and updates through WhatsAppUpdate variance reports, weekly reports, and checklist summariesAnswer payroll-related questions and review overtime hoursMonitor GPS errors and off-site clock-in/out alertsCreate and update weekly schedules, including real-time changes as neededGeneral Ongoing Tasks:Maintain accurate staff and compliance recordsTrack attendance patterns and report inconsistenciesSupport communication between supervisors, team leaders, and field staffEnsure all operational data, schedules, and reports are updated dailyMaintain organized documentation and assist with any operational follow-upsRequirements:Strong background in operations, administration, or compliance (cleaning, hospitality, or field-service industries a plus)Highly proactive — must take initiative and stay ahead of tasks without promptingExcellent attention to detail and accuracyStrong English communication skills (85%+ proficiency required)Comfortable with schedules, time-tracking systems, and cloud-based toolsHighly organized and able to manage multiple priorities in a fast-paced environmentTech-savvy and adaptable to new systems
