In February 2025, we launched an innovative and ambitious 26-month project engaging minimum 508 youth from diverse communities across Canada in professional and personal development and volunteer community service.  Broad Reach recruits youth volunteers to improve the social, economic, and environmental well-being of communities through local action by developing and delivering flexible volunteer service placements for participants including youth from BIPOC, Indigenous and under-served populations. We serve by fostering diversity, inclusion, equity, and personal growth.Position summaryWe are seeking an experienced and results-driven Operations Manager to perform a vital role in advancing Broad Reach’s mission by ensuring timely and accurate data collection and maintenance, scheduling, reporting, coordination and superior management of all aspects of the charity’s operations.The ideal candidate will contribute expertise in administration, bookkeeping, community development, web development and commitment to youth development. They will have worked in a hybrid setting, home, office or other identified locations, which requires self-discipline, flexibility, stamina, loyalty and reliability. Reporting to the CEO, the successful applicant will perform an essential role with a broad range of responsibilities, including financial, program, administrative, volunteer-related and day-to-day operations that align with our values, enhance organizational credibility and increase impact.Key ResponsibilitiesAdministrative and Financial Management:●      Partner with cross-functional team to ensure all relevant organizational and projects’ goals are met●      Oversee digital systems including CRM development, Google Workspace administration, and project databases to support administrative tasks, participant and volunteer tracking, and federal reporting requirements●      Maintain the organization’s website and digital tools●      Maintain online application portals, survey administration systems, and evaluation tools for deliverables●      Provide technical guidance and training to staff on organizational systems and digital tools to ensure effective operations●      Ensure a safe and secure workplace aligned with government regulations and compliance standards, including Privacy (Privacy Act, PIPEDA), Accessibility (AODA), and the ESDC Contribution Agreement●      Perform administrative tasks including time sheets, benefit claims, travel bookings and other as required ensuring documented and organized operations ●      Assist with projects’ budget tracking, grant financial reporting and external audits preparation●      Liaise with vendors regarding procurement of goods and services●      Administer daily financial transactions including invoices, receipts and expense claims●      Assist the finance team with payroll, vacations and sick days and other records maintenance and organization●      Assist withdevelopment of new policies and implement procedures to help improve organization’s sustainability and compliance including finance processes and internal controls●      Uphold Broad Reach Canada’s safety protocols and maintain the confidentiality and wellbeing of all involved●      Ensure all activities align with the principles and policies of Broad Reach Canada and its partners●      Participate in other directly related duties as requiredBoard Support●      Support the Board of Directors by preparing board meeting packages, taking meeting minutes and maintaining accurate records of board proceedings●      Assist the Board with fiscal compliance requirements through reminders and shared documentsProgram Assistance●      Assist with delivery and adaptation of existing programs to meet the evolving needs of diverse youth populations●      Provide support to promote the Ships2Shores program by liaising with youth, parents/guardians, and community organizations as requiredVolunteer Coordination●      Offer guidance and day-to-day support to volunteers, fostering a collaborative and mission-aligned teamwork●      Manage volunteer records and schedules to ensure full coverage for all sail training and program activities●      Maintain accurate database of volunteers●      Assist with volunteer recruitment, screening, onboarding, and training for skippers, crew, and other program volunteersCommunity Relationships●      Assist with planning and executing outreach strategies, engagement events, and public relations activities to build program awareness, volunteer and youth engagement●      Assist with strategic opportunities development for new collaborations and partnerships, and foster those relationships●      Help to build and sustain networks with youth, educators, and community partners to enhance program impactQualifications●      University degree in a relevant field (e.g., Business Administration, Finance, Nonprofit Management)●      Leadership & management: ability to lead and motivate teams, delegate tasks, and manage multiple priorities effectively●      Exceptional verbal and written communication skills for interacting with staff, stakeholders, and management●      Financial acumen: strong understanding of budgeting, financial planning, and analysis●      Strategic thinking: ability to develop long-term plans, dapt to business changes, prioritize, apply superior time and change management●      Analytical skills: proficiency in analyzing data, market trends, and business performance●      Problem-solving: capacity to identify issues and develop effective solutions●      Technical Proficiency: familiarity with business management software such as ERP and CRM systems, and other tools●      2–3 years of hands-on experience with Dext and QuickBooks●      Experience in charity financial management and reporting●      Highly diplomatic and people savvy●      Able and willing to work flexible hours, including occasional evenings and weekends●      Post-secondary education in youth work, recreation, education, social work, or a related field or equivalent experience●      3+ years of experience working with youth from diverse and underrepresented communities●      Experience coordinating volunteers, especially in outdoor, educational, or nonprofit settings●      Excellent organizational, communication, and interpersonal skills●      Comfortable working on and around ships and boats or willing to be trainedAssets●      Experience working in a nonprofit, youth-focused organization●      Familiarity
