Job Summary:The Operations Manager is responsible for overseeing multiple client accounts and ensuring the efficient management of daily operations. This role includes leadership of on-site teams, coordination with internal departments, and maintaining strong client relations. The position also plays a key role in financial monitoring, vendor management, compliance, and business development support to ensure service excellence and account growth.Duties and Responsibilities:Head Office Management:Manage assigned accounts and ensure optimal team performance.Provide regular site highlights and operational updates to FM Heads and management.Coordinate with Finance and Accounting teams on billing, invoicing, and collections.Monitor and analyze budgets, expenses, and savings; report findings to management and clients as necessary.Support the Business Development team in new business opportunities, account retention programs, and ad hoc services.Prepare and implement transition plans and action items per account, as required.Promote and highlight other Santos Knight Frank (SKF) services to clients for potential spin-off revenues.Attend regular Head Office and site meetings.Support training initiatives and serve as a resource speaker or facilitator when needed.Provide inputs for quarterly and bi-annual business planning, and present to clients when required.Ensure compliance with ISO, EHS, and QMS standards across all sites.Coordinate with HR, IT, and other departments as necessary for operational needs.Client / Operations Management:Maintain excellent client relations through prompt response to requests and regular site visits.Initiate and attend regular client meetings or business reviews to discuss KPIs, SLAs, plans, updates, accomplishments, and issues.Provide expert operational advice on budgets, improvement plans, vendor management, projects, fit-outs, and services.Represent Santos Knight Frank positively and professionally in all client engagements.Manpower Management:Coordinate employee requests and movement documentation with HR.Work with the Business Development team for client proposals and manpower requirements.Conduct interviews, assessments, onboarding, and re-orientation of site personnel.Provide continuous coaching, mentoring, and support to deployed staff.Review performance evaluations of site personnel every six (6) months.Address and resolve site personnel concerns in a timely manner.Vendor Management (IFM):Provide recommendations to clients based on site requirements (e.g., supplies, housekeeping, security, and other third-party services).Coordinate with Business Development and Procurement teams regarding proposals, sourcing, and deliveries.Conduct regular discussions with clients and vendors about operations, costs, scope of work, issues, and performance.Review and validate invoices, delivery receipts, and requests for payment to ensure timely processing.Qualifications:Proven experience in Facilities or Operations Management, preferably in Integrated Facilities Management (IFM) or property services.Strong leadership, analytical, and communication skills.Ability to manage multiple accounts and teams effectively.Knowledge in budgeting, vendor relations, and compliance standards (ISO/EHS/QMS).
