JOB TITLE Document AdministratorSUMMARY: This position holds accountability for operational document administration, including:
effectively producing, editing, tracking, managing, and coordinating the reviews of all clinical patient contracts and reports to meet established Paradigm quality standards, including timeliness, writing quality, and conforming to Paradigm’s intended ideologies. DUTIES AND RESPONSIBILITIES: Utilize EDDG workflow and available tools (team meetings, acute bulletin) to track patient reports and contracts, determine priorities, and meet productivity standards and timelines for processing and sending reports and contracts according to priority and date.
In accordance with standards of performance, create documents using appropriate contract or report forms and critically review documents for spelling, grammar, punctuation, completeness, and general writing, as well as for consistency, logic, and appropriateness. (Perform administrative quality assurance). Following completion of the document review and quality assurance process, submit document to the appropriate customer individuals or DKA according to established guidelines and EDDG workflow task time frames. Identify and work with team to resolve all obstacles to meeting established Paradigm document guidelines regarding timeliness and quality.
Assist other Document Administrators (or any Paradigm team member) as needed to ensure achievement of Paradigm’s quality and timeliness goals, to maintain customer service standards, and/or to reduce any document processing backlogs. Adhere to Document Administration production standards and quality assurance standards, and ensure appropriate document form usage and applicable customer-specific modifications. Work with Clinical Management Team and Cross Functional Team to continually improve processes and procedures. Maintain a customer service orientation in all interactions with Paradigm team members.
Assist in the development and maintenance of instructions and procedures for all Document Administrator responsibilities as requested by management. Participate as a team member with and understand the responsibilities of Directors of Clinical Services, Clinical Services Associates, and Directors of Key Accounts. Ensure that electronic patient files adhere to the electronic file creation and naming standards, with final versions of documents correctly tagged and saved in Paradigm’s Enterprise Content Library (ECL). Participate in the testing of new databases, processes, and/or other projects as requested by management. Responsible for complying with Paradigm IT security requirement and policies.
Responsible for safeguarding Paradigm or Paradigm related IT passwords. Responsible for notifying Paradigm of any IT security incidents per policy 16. 0 Information Security Incident Management. QUALIFICATION REQUIREMENTS: To perform this job successfully an individual must be able to perform each essential duty satisfactorily. Proven ability to handle multiple projects and meet deadlines. Three years or greater experience in proofreading and/or editing.
Intermediate to advanced computer skills, including intermediate to advanced level knowledge of Microsoft Word, and proficiency in Excel and Outlook. Excellent skills in grammar, punctuation, and spelling, and the ability to express ideas concisely and cogently. Superior attention to detail. Must demonstrate an ongoing willingness to learn new word processing and database management programs. Strong interpersonal skills. Ability to understand and follow written and verbal instructions. Commitment to excellence and high standards. Ability to work independently and as a member of various teams and committees. Demonstrated ability to plan and organize projects.
Must be able to speak, read, write, and understand the primary language(s) used in the workplace: English. Ability to communicate professionally and effectively in person, electronically, on the phone, or through other means to individuals and groups. Medical transcription/terminology experience desired and/or demonstrated ability to learn medical terminology.
