Position Title: Paralegal & Client CoordinatorDepartment: Legal / OperationsReports To: Senior AssociateEmployment Type: Full-timeRole OverviewThe Paralegal & Client Coordinator plays a dual role within the firm, providing essential legal support to the lawyers while managing client communication, case coordination, and operational follow-up. The ideal candidate combines strong legal research and documentation skills with excellent communication, organization, and client-management abilities.This role ensures that cases move smoothly through internal workflows, clients receive timely updates, and all legal documentation is accurately prepared and submitted. It is particularly suitable for candidates who are detail-oriented, proactive, and comfortable managing multiple stakeholders in a fast-paced legal environment.Key Responsibilities1. Client & Case Coordination• Serve as the primary liaison between clients and the internal legal team.• Coordinate case timelines, tasks, and documentation to ensure smooth end-to-end case management.• Maintain regular and timely follow-ups on all open matters, ensuring clients stay informed.• Monitor client satisfaction and escalate concerns to relevant department heads.• Prepare case summaries, status updates, and ensure accurate data entry into internal systems.• Support lawyers in ensuring compliance with internal policies and regulatory requirements.• Schedule client meetings, hearings, and calls, including preparing agendas and follow-up notes.2. Legal Research & Drafting• Conduct legal research on laws, regulations, precedents, and court guidelines.• Draft routine legal documents including letters, memos, contracts, pleadings, notices, and summaries.• Assist in preparing case briefs, witness statements, and due diligence reports.• Prepare and organize case bundles, evidence files, and submissions.3. Court, Government & Regulatory Support• File documents with courts, public notaries, ministries, and other regulatory authorities.• Conduct follow-ups with court clerks and government entities to track case progress.• Assist in obtaining documents such as certificates, approvals, and attestations.4. Documentation & File Management• Organize physical and digital case files with accuracy and confidentiality.• Maintain a structured case-tracking system, ensuring all deadlines, hearings, and deliverables are monitored.• Ensure proper version control, archiving, and compliance with internal data policies.5. Administrative & Operational Support• Support the legal team with meeting coordination, logistics, billing assistance, and timesheet entries.• Prepare reports for the Managing Partner and Head of Operations.• Assist with internal process improvement initiatives related to case management and client care.Qualifications & SkillsEducation & Experience• Bachelor’s degree in Law, Business, or a related field (required).• 2–3 years of experience in a paralegal, client coordination, or legal administrative role (law firm experience preferred).Technical & Professional Skills• Strong legal research and drafting skills.• Exceptional communication and client-facing skills.• Proficiency in case management systems, MS Office, and legal document preparation.• Understanding of UAE/GCC court procedures is an advantage.Language Skills• Excellent command of English (required).• Arabic fluency is strongly preferred for client interaction and legal document support.Behavioral Competencies• High attention to detail and accuracy.• Strong organizational and multitasking abilities.• Proactive, responsive, and able to manage pressure and deadlines.• Professional conduct and ability to maintain strict confidentiality.
