Job Description

The Village of Gurnee is seeking a professional and detail-oriented Part-Time Administrative Secretary to provide high-level administrative support to the Chief, Deputy Chief, Command Staff, and internal department personnel. This position plays a vital role in ensuring the efficient operation of the department through the management of clerical tasks, maintenance of records, preparation of reports, and coordination of both internal and external communications.The ideal candidate will be proactive, highly organized, and capable of handling sensitive and confidential information with discretion. This position requires excellent verbal and written communication skills and the ability to prioritize multiple responsibilities in a fast-paced, public safety environment.Responsibilities Include But Are Not Limited To The Following Enter and verify financial data including purchase orders, bills, invoices, receipts Order department supplies, including Officer uniforms, in a timely and organized manner Create, edit, and proofread documents using Microsoft Word and Excel Answer and screen phone calls; respond to inquiries or direct messages to the appropriate staff Greet and assist office visitors in a professional manner Perform general office tasks such as data entry, filing, copying, faxing, and correspondence preparation Process incoming and outgoing mail and packages Manage calendars, schedule appointments, and coordinate meetings Maintain departmental records and files, including confidential information Assist with preparation of bi-weekly payroll data to the Finance DepartmentSalary and Benefits: Anticipated hiring range for this position is $32.66 per hour, depending on qualifications.Full salary range for this position is $32.66-$39.70 per hour.Retirement benefits through the Illinois Municipal Retirement Fund (IMRF) and the option to participate in a 457(b) deferred compensation plan through Mission Square. This position accrues one hour of paid time off for every 40 hours worked, which is added to the time-off bank annually.Work Schedule: This is a part-time, in-person 25-hour per week, non-exempt position. Work hours are Monday through Friday. Employees must select one of the following consistent schedules: 9:00 AM – 2:00 PM or 10:00 AM – 3:00 PM.Education/Experience High School Diploma or equivalent required Proficiency in Microsoft Office (Word, Excel, Outlook), database entry, and office equipment 3 to 5 years of relevant administrative or office experience required College coursework or specialized certification in office administration or related field preferredTo apply please visit – https://www.gurnee.il.us/jobsCandidates are encouraged to apply as soon as possible for consideration for this position.
