Our Work In Sierra LeonePartners In Health (PIH) began supporting the government of Sierra Leone in response to the Ebola epidemic in October 2014. Recognizing the large need for continued investments in the health system after Ebola, PIH is committed to long-term health system strengthening in support of the Ministry of Health and Sanitation (MOHS), guided by the same principles as our emergency response and our work around the world: public sector accompaniment, integrated and comprehensive services, social justice, nimbleness and flexibility, partnership, community ownership, and evidence-based interventions.

In the aftermath of the epidemic, PIH is committed to supporting the delivery of comprehensive health services in Sierra Leone, from the community level to the health center and to referral hospitals. Position OverviewThe Warehouse Supervisor is responsible for coordinating daily activities related to the receipt , storage, dispatch, inventory control and documentation of both clinical and non- clinical products . The role utilizes PIH’s electronic system - Openboxe s to maintain accurate and timely data records, directly supporting reorder planning, budget forecasting , and the integrity of PIH’s annual audit .

The warehou se supervisor plays a key part in o ptimizing warehouse performance and ensures communication with clinical teams and the biomedical engineer . Essential Duties And Responsibilities Participate in the receiving process of incoming goods, ensuring accurate documentation and filing, inspecting for damages or discrepancies, and promptly reporting any incidents.

Coordinate incoming warehouse approved requests, ensuring accurate and timely processing and dispatch of orders Collaborate closely with the warehouse manager to maintain open and effective communication on order status by receiving pre-alerts and provisional delivery notes Coordinate the receiving process for incoming consignments and promptl y reports discrepancies to the W arehouse M anager and Supply Chain Specialist Ensure timely and accurate recording of all transaction on the stock card and timely updates in Open boxes . Assist in organizing and arranging the warehouse to optimize s pace utilization, efficiency, and appropriate segregation of clinical and non-clinical items.

Prepare distribution lists and manage the timely distribution of products to PIH-SL supported sites. Additionally, share the distribution report Contribute to maintaining accurate inventory records by conducting regular cycle counts and assisting with complete physical inventory checks. Record and investigate discrepancies and implement corrective and preventive actions as appropriate. Manage removal from shelves and documentation of expired and damaged goods in the relevant system. Implement and maintain quality control procedures within the warehouse. Adhering to Standard Operating Procedures (SOPs).

Maintain compliant storage conditions for temperature sensitive products, controlled substances, sterile substances, and hazardous and/or inflammable substances Maintain cleanliness and orderliness of the warehouse to ensure a safe working environment Assist in implementing and maintaining warehouse s ecurity procedures and policies Provide mentorship and training to junior warehouse staff on warehouse SOPs, Open boxes , and safety protocols as required. Generate weekly and monthly reports on the receipt, distribution, and damage d goods to guide dat a driven improvements. .

Participate in team meetings and contribute to monitoring Key Performance Indicators and con tinuous improvement initiatives Execute additional tasks as assigned by supervisors. Perform all warehouse activities in compliance with established Standard O perating Procedures (SOPs) and Warehouse Operation Process map . Certified Pharmacy technician or Diploma/ Degree i n Logistics & Supply C h ain Management from a recognized institution or related field Valid registration license with Pharmacy Board of Siera Leone (Pharmacy Technician) Minimum of 2 years o f relevant pharmaceutical warehousing, hospital stores, humanitarian logistics and supply chain operations. Preferred:

Prior experience in a supervisory or team lead role in a regulated environment Required Skills And Competencies Proficiency in using warehouse management software and other computer applications such as Microsoft Office Suite Knowledge of warehouse protocols and health logistics SOPs Strong understanding of pharmaceutical inventory practices, cold chain, and controlled drug handling Contributing to a positive team environment; cooperating with others, sharing responsibilities, and supporting team goals/objectives. Strong ability to produce clear, concise, and accurate reports and documentation in a timely manner. Attention to detail and problem-solving abilities. Excellent organizational and multitasking skills.

Clear and effective verbal and written communication in cross functional collaboration Proven ability to quickly learn new software and technological tools relevant to warehouse operations. Demonstrates flexibility in adapting to changing workplace dynamics. Skilled in adhering to established processes and experienced in implementing process improvements Committed to performing essential repetitive tasks and data entry, with the ability to understand their relevance to broader team and organizational goals Exemplary interpersonal skills; ability to collaborate effectively with culturally diverse staff across departments and countries. Ability to bend, stoop, kneel, reach, and climb to perform work.

Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 20Kg and heavier weights with the proper equipment such as forklift.
