Payroll Specialist📍 Location: Kraków, Poland (Home-based with occasional onsite work) 🏢 Department: Finance / HR Operations 🕓 Employment Type: Contract (with possible extension based on client needs and performance)About the RoleWe are looking for a detail-oriented and experienced Payroll Specialist to join our team in Kraków, Poland. In this role, you will manage end-to-end payroll processes, ensuring accuracy, compliance, and timely delivery across a global employee base. This is a home-based position, offering flexibility to work remotely while being available for occasional onsite visits for key meetings, audits, or team collaboration. The position is offered on a contract basis, with the possibility of extension depending on business needs and individual performance.Key ResponsibilitiesPayroll Processing: Manage all aspects of payroll including new hires, employee changes, terminations, and pay adjustments. Ensure accurate and timely processing of hours and payments with proper documentation and checklists.Payroll Audits: Finalize and balance payroll totals using internal tools. Perform comprehensive reviews and audits of reports from outsourced vendors (e.g., Gross-to-Net, payment reports).Reporting: Create, update, and maintain payroll-related reports to support internal departments and business needs.Customer Service: Deliver a consistently high level of customer service. Manage escalations and service requests within SLA timelines. Partner with HR, Accounting, Benefits & Compensation, and Tax teams to maintain strong business relationships.Quarter/Year-End Support: Assist with quarter-end and year-end activities, including reviewing wage and tax adjustments, identifying out-of-balance reports, reconciling accounts, and ensuring compliance with statutory requirements.Process Improvement & Documentation: Develop and update process documentation, work instructions, and process flows. Continuously assess and streamline processes for greater efficiency.Subject Matter Expertise: Apply deep knowledge of end-to-end payroll transactions, including complex and technical payrolls. Research and implement creative solutions to address payroll challenges in a dynamic environment.Team Collaboration: Act as a mentor and support team members. Participate in team initiatives and contribute to achieving accuracy, timeliness, and employee satisfaction goals.Qualifications & ExperienceBachelor’s degree in Finance, Accounting, or a related fieldFluency in English (verbal and written)Minimum 4 years of global payroll experience, ideally in organizations with 1,000+ employeesStrong Microsoft Excel skills (pivot tables, VLOOKUPs, filtering, sorting)Basic proficiency in Microsoft Word, PowerPoint, and VisioExcellent attention to detail, organizational skills, and ability to meet deadlinesStrong interpersonal and problem-solving skills💡 Interested in joining our team?
