With decades of collective knowledge, the team excels in collaboration and innovation, ensuring that the organization's culture thrives.  Currently, the department is comprised of two teams:  People culture & operations: Responsible for the employee lifecycle from recruiting to hiring, onboarding, employee & manager training, professional development, performance reviews, culture, change management, events and companywide communication.   Payroll: Responsible for the seamless execution of payroll operations, time & attendance tracking, compensation accuracy, and vendor coordination. By joining the People & Culture (P&C) team at Backroads, you’ll be part of a group that values building innovative people processes and fostering a positive, inclusive employee experience. About the Role:We are looking for an organized and proactive People & Culture Coordinator to support our European HR operations. This role involves drafting and sending contracts for 12 countries, maintaining employee data in Workday, as well as supporting the events and facilities functions of our office in Utrecht. The People & Culture Coordinator will also assist with tracking necessary health & safety certifications for our remote seasonal Field Staff.What you will be doing:Personal Information Gathering: Collect and verify personal information from new hires for payroll setup, and ensure Workday stays up to date. Administrative Support: Provide general administrative support to the HR team, including document preparation, sick leave documentation, certification tracking, and communication with employees regarding HR matters. Contract Management: Assist in the preparation of employment contracts for 12 European countries, with a high attention to detail and timeliness. Jira Management: Respond to employees' inquiries promptly and with empathy. Documentation and Compliance: Secure A-1 forms and other required documents for European field staff. Facilitate the preparation of secondment papers for Euro Field Staff. Ensure the completion of mandatory Field Staff safety and security training. Health & Safety: Track necessary health and safety certificates and obligatory appointments for Field Staff. Termination & Deactivation: Manage employee deactivations, ensuring proper documentation and compliance. Facilities Support: Help keep our office running along by maintaining a clean and well-stocked coffee, tea, and snack supply. Assist Managing Director of Europe with administrative tasks (2-5 hours a week). What You’ll Need to Be Successful:Previous experience in HR administration or a similar role. Proficiency in HR systems. Workday and Jira experience are a plus. Strong attention to detail and ability to handle sensitive information. Demonstrates initiative and derives genuine satisfaction from supporting Backroads employees. Excellent communication skills and the ability to work collaboratively with teams across different regions. Organizational skills to manage multiple tasks and meet deadlines. Strong command of spoken and written English is required; additional languages, particularly Dutch, are highly valued.
