We operate with a small, high-performance team and are looking for someone who can help us stabilize and scale our People Operations while also growing into a hybrid Executive Assistant role.About the RoleThis role is ideal for someone who enjoys bringing structure to chaos, documenting processes, handling sensitive information with care, and communicating with clarity and professionalism. This is NOT a task-dumping VA role. We’re looking for someone who thinks, plans, organizes, and proactively solves problems.ResponsibilitiesPeople Operations (Primary Focus)Own the end-to-end contractor lifecycle (onboarding, offboarding, documentation, contract renewals).Create and maintain SOPs for all PeopleOps processes using your own clear writing — no AI lifts or templates.Manage PTO tracking, availability calendars, and contractor communication.Handle background checks, ID verification processes, and personnel record maintenance.Maintain an accurate company directory, org chart, and people database.Run weekly PeopleOps reviews: highlight risks, upcoming expirations, missing docs, engagement concerns.Executive Assistant (Growth Path)Once PeopleOps foundation is established, responsibilities will expand to:Managing CEO scheduling, travel logistics, and follow-ups.Preparing summaries, meeting notes, and action trackers.Drafting internal communications and light operations updates.Coordinating leadership meetings and all-hands sessions.Taking ownership of small strategic projects that support company growth.QualificationsStrong written English — concise, accurate, human-written. No AI regurgitation.Experience in PeopleOps, HR coordination, EA work, or project coordination.Highly reliable, fast response times, excellent follow-through.Extremely organized — you enjoy building structure and tracking details.Comfortable working with distributed teams across multiple time zones.Able to take a rough idea and turn it into a documented, repeatable process.Proactive mindset — you ask questions, raise red flags, and propose solutions.Required SkillsTools We Use (experience is a plus, but not required):Google Workspace (Docs, Sheets, Drive)SlackNotion / ConfluenceDeel / RipplingTrello / Kanban toolsZoom / MeetPreferred SkillsThe opportunity to grow into a true EA / Chief-of-Staff–style role as trust builds.Pay range and compensation packageCompetitive monthly rate based on experience.
