Role DescriptionThe Personal Assistant (20%) provides dedicated administrative and organizational support to an executive or senior manager, ensuring smooth daily operations and efficient time management. Working on a part-time basis, this role combines scheduling, correspondence management, and task coordination to support the executive in achieving organizational and personal objectives. The Personal Assistant serves as a reliable point of contact, handling sensitive information with discretion and professionalism.Key Responsibilities:Manage the executive’s calendar, schedule appointments, and coordinate meetings with internal and external stakeholders.Prepare, review, and organize documents, reports, presentations, and correspondence.Handle incoming calls, emails, and messages, prioritizing and responding as appropriate.Coordinate travel arrangements, including flights, accommodation, and itineraries.Assist in preparing meeting agendas, taking notes, and following up on action items.Organize and maintain both digital and physical files, ensuring accessibility and confidentiality.Support task management, project tracking, and follow-ups on deadlines and commitments.Liaise with internal teams and external contacts to ensure smooth communication and collaboration.Handle personal or ad hoc administrative tasks as requested by the executive.Maintain discretion and confidentiality regarding sensitive information and strategic matters.Qualifications:Proven experience as a Personal Assistant, Executive Assistant, or similar administrative role.Strong organizational, multitasking, and time-management skills.Excellent written and verbal communication abilities.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools.Ability to work independently, prioritize tasks, and adapt to changing demands.High level of discretion, professionalism, and reliability.Attention to detail and proactive problem-solving skills.Flexibility and adaptability to support part-time working hours effectively.Familiarity with project management or task-tracking tools is a plus.The ideal candidate is highly organized, proactive, and discreet, capable of managing a wide range of tasks efficiently while providing exceptional support.
