A Site Manager oversees all jobs, supported by a dedicated office team in Hartshill.Role DescriptionThis is a full-time, on-site role for a Personal Assistant located in Stoke-on-Trent. The Personal Assistant will manage day-to-day administrative and clerical tasks, including scheduling and diary management, coordinating meetings, handling correspondence, and providing support to the team. The candidate will act as a key point of communication while ensuring efficient office operations.DutiesManage and organise schedules, appointments, and meetings for the executive team.Manage and organise contractors work load, job time sheets.Perform data entry and maintain accurate records using QuickBooks and Microsoft Office applications.Handle correspondence, including emails and phone calls, speaking to existing and new clients for the building company, demonstrating excellent phone etiquette.Carryout quotes, estimates and invoicing for the building company.House Keeping of the office and ordering all items required to do so.Ordering and organising building materials when required online and over the phone.Reporting & booking in maintenance of all the business vehicles ie MOT's, Servicing, Repairs.Prepare reports, presentations, and other documents as required.Assist with clerical tasks such as filing, photocopying, and scanning documents.Utilise Google Workspace for collaborative projects and communication.Support office operations by maintaining supplies and equipment inventory.Foster a positive working environment by providing administrative support to team members as needed.RequirementsProven administrative experience in an office setting is essential.Strong organisational skills with the ability to prioritise tasks effectively.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.Experience with QuickBooks is advantageous but not mandatory.Excellent typing skills with a high degree of accuracy.Strong clerical skills including data entry experience.Ability to communicate professionally and effectively both verbally and in writing.A proactive approach to problem-solving with strong attention to detail.
