Job Description

MissionTo provide professional administrative support to Managing Director of Fendi Korea and act as bridge for enhancing internal and external communication. This job also contributes to company success through providing general office management.Main Responsibilities:Secretarial SupportPerform professional administrative and secretarial support to Managing Director with excellence and facilitate communication between Korea and Fendi HQ.Proactively manage Managing Director’s outlook calendar as day-to-day basis; arrange internal/external meetings, appointments, store visit by leveraging MD’s avilable timeslots. Identify & troubleshoot schedule conflicts and suggest best suggestionsPerform professional support for MD’s business presentation files and reportsEstablish relationships with Fendi other markets and HQ counterparts to ensure calendar alignment. Partner with Fendi HQ in organizing company functions/events logisticsOrganization of business meeting, preparation of meeting agenda & minutes and other logistic arrangement, e.g. meeting venue arrangement, ensure proper IT set upArrange MD’s business trip including itinerary setup, flight/hotel reservation, visa issuance, and transportation reservationSupport for HQ & other BU (business unit)’s executive visits by providing itinerary, logisticsPrepare & submit MD’s business trip request & T&E reports for approval.Prepare correspondence, memorandum and confidential documentsCommunicate with internal departments heads to consolidate informationHandle/screen incoming calls; Act as a professional and knowledgeable representative of companyAd Hoc assignment by Managing Director.Office Operations & General AffairsTo consolidate and distribute Fax and mail, frequently check and clear the server fax folderTo handle domestic and overseas mail (including courier arrangement)To order office supplies including stationery, business card, first aid supplies, etc.Tidiness and cleanliness of meeting room/canteenUpdate contact lists, public holidays lists by communicating with local/FAP officesUpdate emergency contact list/evacuation mapAdministration of Access Facility (Entrance card management for joiners/leavers)Arrangement flower delivery for condolences/congratulationsTo support office gathering or eventCleaning, Air-conditioning and relevant maintenance with vendors and landlordPantry supplies (coffee, tea, relevant purchasing)Copier and Fax Machine maintenanceHR SupportHandle task needed under HR Director’s guidelineSupport the interview schedule arrangement with CandidatesSupport the On boarding & Off boarding processCoordinate the company eventsOther Human Resources ad-hoc issue
