We have an exciting opportunity to appoint a Personal Assistant to support our EGM of Workplace & Enterprise Asset Management and their respective leadership team.About the roleBased in our Sydney Head Office as a Personal Assistant, you will be supporting the EGM and their respective leadership team playing a critical role ensuring the smooth operation of the team as well as assisting with the strategic goals of the business unit. This role will be diverse and will see you managing a range of competing tasksYour responsibilities will include but not limited to:Provide high-level, proactive administrative support to the Executive General Manager (EGM) and senior leadership team, ensuring seamless execution of strategic and operational priorities.Manage complex diaries for the EGM and senior leadership team, anticipating needs, prioritising commitments, and aligning schedules to maximise executive effectiveness and business outcomes.Monitor and manage email communications for the EGM and leadership team, identifying critical issues, escalating urgent matters, and ensuring timely, strategic responses.Plan and manage all domestic and international travel for the business unit, ensuring alignment with policy, cost efficiency, and minimal disruption to executive workflows.Process and reconcile expenses in accordance with corporate policy, ensuring accuracy, compliance, and timely reporting.Support the development and maintenance of systems, procedures, and internal controls that enhance administrative efficiency and governance.Monitor operational expenditure, budgets, and forecasts for the leadership team, providing insights and supporting financial accountability.Prepare high-quality presentations, reports, and complex documents with a focus on clarity, consistency, and alignment with strategic messaging.Raise purchase orders and process invoices in line with procurement policies, ensuring timely vendor engagement and financial compliance.Lead the onboarding process for new team members, coordinating IT setup, site access, stakeholder introductions, and first-day experiences to ensure a smooth transition.Act as the primary liaison for internal and external communications, managing correspondence with professionalism and discretion, and representing Stockland in alignment with its brand and values.Maintain accurate and up-to-date contact records in Salesforce, supporting stakeholder engagement and relationship management.Coordinate and prepare for key meetings, including agenda development, presentation preparation, minute-taking, and proactive follow-up on action items.Manage logistics for business unit events, conferences, and functions, including catering, venue coordination, and agenda planning, ensuring cost-effectiveness and brand alignment.Support the delivery of strategic initiatives and special projects, ensuring alignment with business goals and timely execution.Identify and contribute to organisational improvement initiatives, driving efficiency and enhancing team performance.Follow the appropriate CR&S processes, business practices, and measurement tools and report any non-compliance.
