As our Receptionist, you'll be the first point of contact for our patients — both in person and over the phone. You'll manage the patient journey with professionalism and warmth, ensuring seamless communication between our medical and administrative teams.This is a hands-on role that blends service, organization, and operational excellence in a high-end medical environment.Location: Malmö, SwedenSchedule: Full-time, Monday-Friday, 08:00-17:00Your Key Responsibilities Patient Experience Welcome patients with warmth and professionalism, ensuring a calm and premium atmosphere. Guide and support patients throughout their visit, answering questions and offering assistance. Manage appointment scheduling, confirmations, and follow-ups. Proactively communicate with patients to ensure all pre-visit requirements (consent forms, health declarations) are completed. Operations & Administration Handle phone calls, emails, and booking requests promptly and accurately. Maintain patient records and documentation in Boxly and other systems. Manage invoicing, payments, and follow-up on outstanding balances. Optimize daily patient flow between clinic floors and departments. Coordinate deliveries, laundry, supplies, and cleaning routines. Clinic Standards Ensure the clinic always reflects our commitment to excellence — from reception areas to treatment rooms. Maintain cleanliness, restock consumables, order supplies, and arrange flowers. Support marketing initiatives by updating the website and assisting with social media content (Facebook, Instagram). Key Success Indicators (KPIs) Patient satisfaction and first impression ratings Telephone response and booking efficiency Conversion rates from lead → consultation → surgery Clinic visual standards and organization Requirements A service-minded professional who genuinely enjoys helping people. Excellent communicator in Swedish and English, both written and spoken. Detail-oriented, organized, and able to multitask in a fast-paced environment. Confident with administrative tools and digital systems. A proactive mindset - you see what needs to be done and make it happen.
