This role blends on-site leadership with remote administrative management, supporting both clinical operations and business development.The ideal candidate is an organized, proactive leader with strong business acumen, excellent communication skills, and an eye for detail—someone who can balance operational excellence with an elevated patient experience.⸻Key ResponsibilitiesOperational Leadership • Oversee all practice operations, including front desk, scheduling, billing, and clinical coordination. • Manage and refine workflows to ensure efficiency, compliance, and exceptional service standards. • Supervise staff schedules and ensure seamless communication between administrative and clinical teams. • Oversee vendor relationships, purchasing, and inventory for medical and aesthetic supplies.Hybrid Administrative Management • Work remotely on administrative, financial, and marketing tasks, including data analysis, payroll coordination, and reporting. • Maintain accurate records through practice management and EMR systems. • Coordinate virtual meetings, performance reviews, and vendor negotiations as needed. • Support the physician/owner with special projects, business planning, and strategy.Financial Oversight • Collaborate with ownership to create and manage budgets, forecast revenue, and monitor expenses. • Oversee billing and collections processes; ensure accurate reconciliation and financial reporting. • Generate regular performance metrics to track profitability, efficiency, and patient satisfaction.Patient Experience & Brand Management • Maintain the practice’s reputation for discretion, professionalism, and luxury service. • Train and mentor staff to deliver an elevated patient journey—from initial inquiry to post-operative care. • Support marketing initiatives, social media campaigns, and patient events to strengthen brand visibility. • Uphold aesthetic and service standards consistent with a high-end boutique practice.Team Leadership • Recruit, train, and manage administrative and support staff. • Conduct performance evaluations and create professional development plans. • Foster a culture of accountability, positivity, and patient-centered care.Compliance & Risk Management • Ensure compliance with HIPAA, OSHA, and all applicable healthcare regulations. • Maintain accurate documentation for licenses, certifications, and credentialing. • Handle sensitive patient and personnel matters with discretion and integrity.⸻Qualifications • Bachelor’s degree in healthcare administration, business, or related field (Master’s preferred). • 3–5+ years of management experience in plastic surgery, dermatology, or luxury medical aesthetics. • Strong understanding of medical billing, scheduling, EMR systems, and operational compliance. • Exceptional organizational, leadership, and communication skills. • Tech-savvy and able to manage remote administrative workflows effectively. • Professional, polished demeanor consistent with a boutique medical environment.⸻Compensation & Benefits • Competitive salary (commensurate with experience) • Performance-based incentives • Hybrid work flexibility (in-office + remote days) • Health insurance, paid time off, and professional development opportunities
