Our team is made up of motivated, hard-working people spanning the globe, united by a culture of learning and continuous improvement.What we’re looking for:We’re looking for a Practice Manager who can confidently oversee the administrative and operational functions of a growing mental health practice. This role requires someone who is detail-oriented, organized, and experienced in managing client onboarding, billing, and insurance workflows—particularly within a platform like SimplePractice.The ideal candidate is proactive, communicative, and skilled at juggling multiple priorities while maintaining a high standard of professionalism and compliance. You should have a solid understanding of both in-network and out-of-network billing processes, insurance verification, and HIPAA requirements.We’re looking for someone who brings both precision and warmth to their work—someone who can streamline operations, support clients and therapists, and keep systems running smoothly behind the scenes.Responsibilities—what you'll do:Client Registration & OnboardingManage the client onboarding process, including intake form review, account setup, and documentation management in our EHR (SimplePractice).Communicate with new clients regarding registration, paperwork, and initial scheduling steps.Ensure client data is accurate, complete, and compliant with HIPAA standards.Billing & Insurance ManagementOversee all aspects of billing, including invoicing, payment posting, and account reconciliation.Manage in-network and out-of-network (INN and OON) insurance claim submissions, denials, corrections, and resubmissions.Verify benefits and coordinate eligibility checks for both INN and OON clients.Maintain up-to-date payer information and insurance fee schedules.Generate and send superbills for OON clientsCommunicate with clients and therapists regarding billing or insurance inquiries in a timely and professional manner.Administrative Support & CoordinationServe as the primary administrative liaison between therapists, clients, and insurance carriers.Maintain organized systems for billing, claims, and client records.Prepare administrative reports as needed.Identify opportunities to streamline processes and improve administrative efficiency.Uphold all privacy and compliance standards (HIPAA, data protection, and ethical communication).Qualifications:3+ years of administrative experience in a private group mental health or medical practice setting.Proficiency with SimplePractice or similar EHR systems.Strong working knowledge of mental health billing and insurance processes, including both in-network (INN) and out-of-network (OON) claims.Familiarity with CPT codes, EOBs, insurance reimbursement procedures, and revenue cycle management.Excellent written and verbal communication skills, with a client-centered and professional tone.Ability to draft and refine administrative templates, workflows, and policies.Highly organized, detail-oriented, and able to manage multiple priorities independently.Commitment to confidentiality, accuracy, and respectful communication.Familiarity specifically with Anthem BCBS, Aetna, Cigna, UHC and mental health reimbursement standards.Fully fluent in EnglishAbility to commit long-term and full-timeThis position is for serious, career-oriented candidatesWhat we offer:Best salaries in the industryPermanent ability to work from anywhere in the worldOpportunities for growth and advancementA fast-paced and collaborative environmentWarm and friendly company cultureFull benefitsBenefits at Persona:Health insuranceUnlimited paid time off (paid sick and vacation leaves)Annual bonuses based on performanceMonthly tech allowanceOpportunity to be paid in your currency of choiceOthers depending on seniorityThis is a full-time and long-term role, dedicated exclusively to serving one of our clients.
