DescriptionThis is a non-permanent Administrative Assistant 2 (AA 2) and is expected to last up to twelve (12) months from the date of hire. We anticipate that this part-time role will work up to 30 hours a week.THE OPPORTUNITYThe Division of Environmental Public Health (EPH) works to improve the health of people in Washington State by reducing exposure to environmental hazards and supporting healthy, safe places where people live and play.We’re seeking a dedicated Private Detention Complaint Intake Coordinator to support the Private Detention Program. Reporting to the Public Engagement Manager, this position manages the complaint intake, triage, and referral system for private detention facilities across Washington State.This role offers the opportunity to make a meaningful impact by addressing public health and human rights concerns, engaging with individuals in challenging circumstances, and ensuring communication and data processes run smoothly and equitably.Key ResponsibilitiesManage the data system for private detention complaint intake, triage, and referrals.Communicate respectfully and compassionately with individuals who are detained via phone, email, and correspondence.Coordinate translation and interpreter services for all private detention program activities.Monitor and evaluate complaint program procedures for efficiency and effectiveness; recommend and support improvements.Collaborate with IT staff to maintain and enhance the online complaint form and database functionality.Analyze and visualize data trends; prepare reports, infographics, and findings for both internal and external audiences.Post inspection results and data summaries publicly in multiple languages.Support rulemaking activities by scheduling meetings, preparing materials, taking notes, and tracking public engagement.Assist with public comment and outreach efforts by tracking feedback, drafting communications, and organizing materials.Support public records requests and media inquiries.Why You’ll Love This RoleThis position offers a chance to blend administrative skills, data management, and compassion-driven public service. Two (2) or more years of experience in an office/clerical, secretarial, or general administrative environment using office organization methods/practices for performing complex clerical and administrative tasks Additional Required Knowledge, Skills, Abilities, And ExperienceExperience will include proficiency in: Customer service experience includes resolving problems and responding to inquiries regarding policies, procedures, and services. Managing data systems for complaint intake, tracking, analysis, and reporting. Agile communication skills, both written and verbal, to provide direction and information to varied levels of involvement and commitment with diverse populations, including individuals experiencing stress or trauma Project support experience that includes scheduling, orchestration of work to meet deadlines, and reporting progress to project managers. Practical skills in Microsoft Office Suite to include Excel for spreadsheet tasks, database management, MS Word for document creation and formatting, and Microsoft Outlook or similar email systems for electronic correspondence and scheduling. Facilitate support to include organizing meetings, setting up and managing virtual meeting space. Preferred/Desired Knowledge, Skills, Abilities, And Experience Knowledge of trauma-based principles. Use of cultural humility and emotional intelligence practices. Proficiency in both Spanish and English, including translating, reading, speaking and writing. Create clear charts or visuals from data using tools like Excel or Power BI. Experience organizing or facilitating public meetings or listening sessions. Experience updating and maintaining web pages for accuracy and accessibility. Drafting easy-to-understand summaries of technical information for the public.
