Job Description

The Operations Manager supports the Operations Director in overseeing day-to-day operations and project coordination across the Paris office. This role ensures that project timelines, procurement logistics, client communications, and financial processes are effectively managed. The position also provides direct assistance to the Creative Director in managing executive schedules, events, and branding initiatives.Operational Responsibilities1. Paris Office ManagementManage daily operations and general upkeep of the Paris officeSet up and manage software accounts for team membersCoordinate team travel and related logisticsHandle expense reports and support onboarding of new team members2. Bookkeeping & Financial SupportCode invoices and receipts to prepare for accounting submissionAssist with budgeting updates and account management file updates3. Procurement & SuppliesOrder materials, supplies, and equipment for office or project needsProject & Client Coordination1. Client Logistics & CommunicationCoordinate with clients to communicate delivery schedulesManage logistics for timely and accurate fulfillment2. Procurement LogisticsObtain quotes and oversee customs clearance processesOrganize transportation, storage, and final delivery of goods3. Installation & Post-Installation ManagementCoordinate installations with the design team project leadManage follow-up on returns, defects, and exchanges4. Project Timeline & Design Team LiaisonTrack project schedules to ensure deadlines are metAct as a liaison with design project leaders to synchronize deliverablesCreative Director & Brand Support1. Scheduling & AppointmentsArrange meetings, travel, and appointments for the Creative DirectorPlan schedules while the Creative Director and President are in Europe2. Executive SupportOrganize travel and entertainment for the President as neededManage and maintain the President’s scheduleProactively provide information and updates to executives and team leads3. Event & Activity CoordinationSchedule internal and external events, programs, and team activitiesOversee logistics for public or brand-facing initiatives4. Marketing & Branding SupportSupport the Creative Director in managing and tracking branding and marketing projectsQualificationsStrong written and verbal communication skills in both French and EnglishExcellent time management skills4+ years of experience in a similar role in a design related industry (interior design and/or architecture)Bachelor or Associate degree in art, design or a related fieldKnowledge of FF&E selection (materials, finishes, detailing, and scheduling), methods, and the tools involved in the construction or repair of houses, buildings, products or other structures a plusSalary based on experience. Start date November 1st.
