We are a global, full-service integrated marketing agency, specializing in event design & production, brand marketing, marketing strategy, sponsorships, talent management & bookings, publicity, and social media & influencer relations. We constantly strive to expand our offering as an agency. Our growing and dynamic production team is now looking for a Production Coordinator who will be supporting the production team on some of the agency’s leading clients.Does this sound like you?The Event Production Coordinator will work closely with Producers to support the planning, organization, and execution of high-quality events from concept to completion. This role will be hands-on in vendor management, logistics coordination, materials sourcing, and administrative support, ensuring seamless communication between the internal team, clients, and partners. Some skills will be developed on the job, making this an excellent opportunity for a motivated, detail-oriented individual to grow within event production. The ideal candidate must be able to complete all physical requirements of the job with or without reasonable accommodation. Key ResponsibilitiesEvent Planning & ExecutionCollaborate with Producers to plan and execute vendor logistics and production needs for events.Support all phases of event production, including concepting, planning, pre-production, on-site execution, and post-event breakdown.Source and secure venues, vendors, materials, and locations.Manage vendor relationships, including outreach, negotiation, and logistics coordination in collaboration with the Executive Producer and Lead Producer.Oversee shipping and delivery of materials to event sites.Maintain updated event documents, including activation decks, recap decks, production schedules, critical paths, cost comparisons, and rooming lists.Provide timely and regular program updates to the internal team and clients.On-Site & Post-EventAssist with on-site event set-up, execution, and breakdown.Serve as a point of contact for vendors and internal team during events.Contribute to post-event recaps, documentation, and budget reconciliation.Administrative & Coordination SupportTrack deadlines, deliverables, and budgets to ensure projects stay on schedule and within scope.Conduct venue scouting and provide recommendations based on event needs.Support daily event operations by keeping all project documents accurate and up to date.Join and contribute to team calls as required.What you need to succeed at BMF: You must have:Minimum 1 year of experience in event production roles.Excellent communication and people skills.High level of organization and strong negotiating ability.Strong work ethic and ability to thrive in fast-paced environments.High competency in computer and software skills relevant to the role.Professional conduct both within and outside the office while conducting agency business.Expertise in Keynote, Excel, and Outlook.Bachelor’s degree in a related field.This role requires regularly moving and transporting production equipment weighing up to 50 lbs., with or without reasonable accommodationAbility to travel 30% of the time. What we bring to the table:We want you to be part of a dynamic and creative team.
