Program AdministratorPart-time PositionLocation: Remote work with occasional in-person meetings required, must be NH Seacoast basedAbout The KEY Collective:Founded in 2017, The KEY Collective is a 501(c)3 organization that provides economically disadvantaged K-12 students on the NH Seacoast access to out-of-school programming that they might not typically have access to due to financial constraints. During the 2024-2025 school year, 500 kids benefitted from the #areuin? card- KEY Collective’s flagship program- providing access to sports and other youth activities for free or at a reduced cost with no red tape and no social stigma attached.About the Program Administrator Role:The Program Administrator will work under the direction of the Executive Director and work with the Development & Marketing Manager. The role is remote, but applicants must live in proximity to the NH Seacoast as visits to partner organizations and attendance at events/meetings is required.Main Role Responsibilities:1. Manage & Maintain Donor Database (Little Green Light)a. Create & maintain templates for generated emails & lettersb. Create new donor records & maintain existing donor records, with all supporting informationc. Run reports for board & marketing campaigns (work with Development & Marketing Manager on marketing campaigns)2. Program Partner Managementa. Keep in regular contact with existing program partners through emails, calls, meetings and surveysb. Maintain Partner Database (LGL, Website, Documentation)3. Community Resources – Education & Supporta. Keep in regular contact with existing community validators and partners through emails, calls and meetings.b. Maintain Validator database (LGL, Documentation)c. Attend community networking events when needed4. #areuin? card programa. Process #areuin? card applicationsb. Approve or deny based on provided criteriac. Communicate with families and validatorsd. Maintain records and database5. Scholarship programa. Work w/the scholarship committee, families and program organizations to process scholarship requestsb. Maintain records and database6. Event planning / managementa. Be involved in aspects of fundraisers and events as needed7. Attend Bi-monthly board meetings & assist in the preparation thereof.8. Assist in other projects and tasks as needed.Qualifications:• Associate or bachelor’s degree in a related field (nonprofit management, communications, business administration, or human services) preferred but not required.• Equivalent experience in nonprofit administration, program coordination, or community-based work considered in place of formal education.Experience:• 2+ years of administrative, program support, or coordination experience — ideally within a nonprofit or mission-driven organization.• Proven experience working remotely with minimal supervision.• Familiarity with fundraising processes, donor relations, or grant reporting helpful but not required.Remote Work & Collaboration Skills:• Self-motivated, dependable, and able to manage tasks independently in a remote environment.• Strong written and verbal communication skills; comfortable communicating with staff, partners, and community members online.• Proficient in Google Workspace and Microsoft 365 (Docs, Sheets, Drive, Outlook, etc.); able to learn new digital tools quickly. Familiarity with Little Green Light, Sync, Mailchimp and SquareSpace preferred but not required.• Organized, efficient, and comfortable balancing multiple projects at once.• Demonstrates discretion when handling sensitive or confidential information.• Proactive in communicating progress, challenges, and successes with team members.Work Environment• Fully remote; must have reliable internet and an appropriate workspace. Occasional meetings required throughout the Seacoast.• 15-20 hours per week, 3-4 hours per day during standard business hours, but can be flexiblewhen needed.• Hourly position; no benefits provided.To apply please submit a resume & cover letter to kristyn@keycollective.org
