Program Officer - (25142702)Purpose: This position is responsible for coordinating all scheduled tours as well as the Civics and Education Endowment field trip grants.Representative DutiesPromoting the tour program and the Civics and Education Endowment grants. Responsible for requests for assistance and interpreting program policies and requirements. Processing requests for funding, including notifying applicants of funding amounts, helping to prioritize grant recipients based on established criteria (if there isn’t enough money for everyone), preparing paperwork, performing compliance reviews (e.g., schools bring the number of students they say they will bring and they fulfill other grant obligations). Entering, tracking, maintaining, analyzing and reporting program data, including tracking the money available for grants to schools to assure the program remains within budget and creating reports. Communicating with teachers and school business offices to make sure paperwork is completed, tours are scheduled, and the experience is satisfactory. Providing information on tour stops and pre-tour and post tour lessons. Scheduling tours and tour guides. Providing back up for tours. Distributing and analyzing post-tour evaluations and making recommendations for improvement. Knowledge OfKnowledge of Microsoft Office Word, Excel and Power Point programs. Ability to establish and maintain effective working relationships with employees, school administration, and the public. Ability to plan, organize and maintain deadlinesEducationBachelor’s degree in human services, business, or related field. ExperienceOne year of experience in the agency program or related field. Other combinations of education or experience may be substituted. Minimum Physical/Mental RequirementsNormal office environment. Work may involve travel to perform duties including inspections, community activities, or onsite program evaluations.Hours Of OperationThe Montana Heritage Center operates seven days a week: Monday – Friday from 6:30 a.m. to 6:00 p.m., Saturday from 9:30 a.m. to 5:30 p.m., and Sunday from 11:30 a.m. to 5:30 p.m.As an employee of the Montana Historical Society, your work hours may fall outside the regular Monday to Friday, 8:00 a.m. to 5:00 p.m. schedule.Applicant Pool Statement: If another department vacancy occurs in this job title within six months, the same applicant pool may be used for the selection.
