Our goal is to provide the highest standard of quality in creative, integrated, and forward-thinking solutions.ROLEAs a Project Administrator at NBM Engineering, you will serve as the day-to-day coordinator between our clients, design teams, and impacted residents for utility projects. You’ll keep documents current, track delivery proofs, and communicate clearly with customers about upcoming work and potential disruptions.RESPONSIBILITIESDocument Control & Coordination – Work with clients and designers to ensure drawings, scopes, notices, and logs are current, accurate, and version-controlled.Drawing/Scope Review – Review utility drawings and hydro scopes to flag new/modified assets and impacted customers/addresses; prepare impact lists for outreach.Customer Communication – Notify residents and businesses regarding work areas, timelines, and access/disruption impacts; escalate issues promptly.Notice Delivery – Hand-deliver letters/door hangers as required; schedule and route efficiently.Proof & Records Management – Maintain proof-of-delivery logs, geotagged photos, and site documentation; file in the project repository with consistent naming.Issue Tracking – Log inquiries, complaints, and resolutions; coordinate follow-ups with design/construction teams.Meeting Support – Prepare contact lists, mail merges, and distribution trackers; capture minutes and action items for outreach meetings.Compliance & Privacy – Handle resident information per company policy and applicable privacy requirements.REQUIREMENTSPost-secondary diploma in Electrical or Civil Engineering or related discipline.Experience in the utility sector is preferred.2–4 years in project administration, customer relations, or municipal/utility coordination.Comfortable reading plans/drawings and scopes; able to interpret addresses, asset IDs, and work limits.Strong written and verbal communication; professional, calm approach with the public.Solid organization and time management; accurate record-keeping under deadlines.Proficiency with MS Office/365 (Word, Excel, Outlook), PDFs/mark-ups; able to learn CRM or SharePoint-style systems.Valid G-class driver’s licence and reliable access to travel for hand deliveriesNBM Engineering does NOT use artificial intelligence tools to screen, assess or select applicants for this position.This posting is for an existing vacancy.We do not require Canadian work experience as a condition of hiring.Only qualified applicants will be contacted.
