Job Description

We are seeing a Project Administrator to join our team, based out of our Edmonton, AB office.This position will play a crucial role in providing comprehensive support to our project teams. Responsibilities include assisting with project coordination, booking travel, maintaining project documentation and records, scheduling meetings and appointments, and facilitating communication between team members and stakeholders. You will collaborate closely with project managers and other team members to ensure smooth project execution and delivery.This position requires ability to work overtime, weekends and holidays as required by project needs. It also requires strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced construction environment.RequirementsDuties and Responsibilities will include but are not limited to:Travel Coordination - book, coordinate and manage travel requirements for onsite personnel and site visitors (flights, camp rooms, hotels, shuttles etc.)Procurement Support - purchase order entry, receiving, travel invoice review, expense report submissions etcTimesheet Support - Reviewing timesheets for consistency and correctness, time entry into Valard's payroll system and communicating issues with corporate payrollIT requests - Providing support for on site staff as required, relaying requests to IT for equipment or access and ensure it is provided or implemented per the requestReports - Data collection, entry and distribution for daily, weekly, and monthly reportsIn addition to the above specific tasks there are more general tasks that will be completed by the Project Administrator including:General data entry as required and incorporation of field data into reportsGeneral administrative dutiesParticipation in Valard Safety programsDeveloping contacts throughout the company and having the ability to track down pertinent and essential information through these contactsUsing Valard systems and processes to complete day to day tasksCoordination with Edmonton office accounting & operational functionsKNOWLEDGE, SKILLS & ABILITIES:Knowledge of purchasing requirementsStrong attention to detailPost-secondary degree or diploma in Business Administration would be considered an assetExperience performing document control would be an assetPast experience working within a construction company environment would be an assetExperience working with utility companies would be an assetPrevious experience using JD Edwards would be an assetExcellent interpersonal, verbal and written communication skillsStrong knowledge and experience with Microsoft office programsSuperior organizational and time management skillsStrong initiative and ability to problem solveAbility to learn new programs/systems quicklyEDUCATION AND EXPERIENCE:BA college diploma is required, with a bachelor's degree (such as Bachelor of Education or Bachelor of Commerce) preferredCertified Training and Development Professional (CTDP) designation is preferredMinimum of 2 years experience in a related field of work in a data entry or administrative rolePrevious experience in booking medium to large crew travel (20+)BenefitsWe offer a comprehensive and competitive total rewards package that incorporates a complete range of employee benefits to ensure you have the tools necessary to manage, maintain, and improve your health and wellbeing.About Our BusinessValard Construction is Canada's premier utility contractor providing comprehensive EPC+ (engineering, procurement, construction) and maintenance services to utilities, independent power producers, mining, oil and gas industries and rural electric associations.
