This full-time role is integral to supporting project governance and ensuring the smooth execution of internal and external project activities. You will be responsible for organising and facilitating project meetings, tracking actions, standardising project reporting, and providing essential administrative support across various project tasks. This role offers the opportunity to work closely with senior leadership and support the transformation of the rail industry.You will play a key role in managing project documentation, assisting with purchase orders, and supporting communications and engagement activities within the Directorate. If you're a proactive, detail-oriented individual with a passion for project management, this role is a perfect fit.The RoleAs the Project Co-ordinator, you will:Organise and facilitate project governance meetings, ensuring meetings are quorate, appropriately arranged, and minutes are documented in agreement with the Chair.Record and track actions arising from meetings, providing updates to the Chair ahead of the next meeting.Assist in the standardisation of project reporting across various projects, including the use of project management software and risk reporting.Support project managers in the creation and review of project dashboards, ensuring alignment with the governance schedule.Write, proof-check, and format reports as required by the Major Projects Director and other team members.Contribute to the development of a system for storing and organising project documentation, ensuring easy access and compliance.Support project reporting to ensure high standards, meeting internal executive and board requirements, as well as business requirements under the Franchise Agreement.Raise and track purchase orders within the Major Projects Directorate, ensuring financial compliance and maintaining accurate records.Provide administrative support for internal and external meetings, accommodation and travel bookings, and other logistical needs for the Directorate team.Assist with the organisation of communications and engagement activities, including Directorate Away Days.Record and track key performance indicators (KPIs) for the Directorate, providing periodic reports to the Senior Leadership Team.Facilitate diary management and organisation for the Major Projects Director and Senior Leadership Team members as required.About YouYou will be a highly organised individual with strong administrative and project management skills. You’ll have experience in managing documentation, meeting coordination, and supporting senior leadership teams. You will:Have experience in a project coordination or administrative role, preferably within a transport or infrastructure environment.Be proficient in organising and managing meetings, tracking actions, and following up with stakeholders to ensure deadlines are met.Have experience in using project management software and producing project reports.Possess excellent organisational and time management skills, with the ability to manage multiple tasks simultaneously.Be comfortable working with senior leadership and external stakeholders.Demonstrate strong communication skills, both written and verbal, with a keen eye for detail.Be comfortable working autonomously while also being an active and supportive team member.Have proficiency in Microsoft Office applications (Excel, Word, PowerPoint).Be proactive and solutions-oriented, with the ability to adapt to changing priorities and deliver results efficiently.Please press apply to access the full job description and apply for this role.
