Job Description
IS NOT A PROJECT MANAGERYour tasks:Work with the Project Managers to prepare, maintain and track the project management deliverables as they are tailored to each project including:Approving timesheets, following up with the various teams on deliverables statuses (documentation, tests, developments, training materials or sessions, conversions, etc), creation of the vacation calendar and contact list, assist with staffing requirements;Participating in project meetings;Assisting in the different PGO project deliverables (Project Charter, Q-Gate, etc);Preparing materials for the various PGO forums (PMO Weekly Status meetings, Onboarding sessions or Steerco’s).Perform the initial set-up of projects in all internal systems, including SAP S/4, Teams, Sharepoint, CALM and Target Process.Put in place all financial reportings and perform weekly budget updates (for revision with the PM or DE)Perform billing cycleCreate and prepare reports such as project health reporting (proposal and project dashboards, monthly metric reports and ad-hoc reports as requested)Ensure client and supplier documentation (MPSA, LOA & SOW’s) have been executed on time and track expiry & renewal datesResponsible to formalize, communicate and enforce project information, documentation, daily activities and act as a bridge between the Project Manager, the various project members, the partners and the sales teamFacilitate Q-Gate with the project managerValidate if all documentation is well stored where they are supposed to be.You have:Bachelor Degree in Administration or equivalent experienceMinimum of 3 years of experience working in an IT environment in a project management or project control officer roleExceptional verbal and written communication skills in English (and French desirable)Project Management certification (PMP) and experience is an assetExcellent knowledge of project management tools (such as MS-Project) and methodologiesStrong MS Excel skills required to manage, track and report the project budget (PowerPoint, Visio and other project management related applications are equally as important)Ability to balance competing or conflicting requests of various projects, stakeholders, requiring a professional approach and influencing skillsStrong analytical skills and business acumen, strong facilitation skills; able to clarify and articulate issues, meeting outcomes, areas of focus, optionsKnowledge or exposure to SAP is an asset, as is knowledge of a methodology such as AgileYou are: Able to work in a team-oriented environment and interact effectively with othersAble to manage multiple priorities and conflicting demands for various projects and stakeholders, which requires a professional approach and ability to influence peopleDynamic, resourceful, results-orientedPerseverant, flexible and efficient
